About the Role

Job Title: Management Support Executive

Reports to: Managing Director


Job Overview: We are seeking a proactive, detail-oriented Management Support Executive to provide comprehensive administrative and operational support to the Managing Director and senior leadership. This role involves managing schedules, coordinating cross-functional activities, handling confidential information, and supporting strategic business initiatives. The ideal candidate will possess excellent communication skills, strong organizational abilities, and the capacity to multitask effectively in a dynamic environment.



Responsibilities

  • Administrative Support:

  • Manage MD’s calendar, appointments and meetings, ensuring optimal time management
  • Screen and prioritize emails, calls and correspondence on behalf of the MD
  • Coordinate travel arrangements, accommodations and itineraries for business trips
  • Prepare reports, presentations and other documents as needed
  • Assist with projects, research and business initiatives
  • Serve as a liaison between the MD and internal/external stakeholders and follow up for completion of tasks/activities
  • Organize logistics for leadership meetings, events, and strategic sessions.
  • Maintain strict confidentiality when handling sensitive information.


Operational Support and Management:

  • Track progress on key business goals, projects, and deadlines, coordinating with various departments for updates.
  • Conduct research and provide insights to support executive decision-making
  • Support the MD in managing business relationships and partnerships
  • Assist in documentation, reporting, and presentations related to business performance and strategy


Special Projects:

  • Lead or support cross-functional special projects as assigned by the Managing Director.
  • Coordinate project activities, timelines, and deliverables ensuring alignment with business objectives.
  • Collaborate with internal departments and external partners to gather data, analyze information, and prepare project reports.
  • Monitor project progress and escalate risks or issues to the MD for timely resolution.
  • Contribute ideas and recommendations to improve project efficiency and outcomes.


Confidentiality & Communication:

  • Handle sensitive and confidential information with discretion
  • Act as a liaison between senior management and internal/external teams
  • Draft and review communications for team members, ensuring clarity
  • Facilitate high-level meetings and discussions by preparing meeting agendas and tracking action items


Qualifications

  • Education: Bachelor’s degree in Business, Finance, Communications, or a related field (or equivalent experience).
  • Experience: At least 5+ years as an Executive Assistant, Management Reporting or Project Coordination role.
  • Advanced proficiency in MS Office Suite (Excel, PowerPoint, Word).
  • Experience in working with senior management.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Ability to manage time effectively, prioritize tasks, and meet deadlines.
  • High attention to detail and accuracy in reporting.
  • Strong interpersonal skills, with the ability to interact with executives and team members at all levels.
  • Professionalism, discretion and a high level of integrity.


Required Skills
