Purpose of the role

The Learning Ops Admin provides recurring and transactional support that ensures smooth execution of learning programs. Based in Shared Services, this role partners primarily with Learning Delivery Specialists to take on high-volume, process-driven tasks such as video management, recurring emails, SharePoint updates, roster management, and purchase order/invoice tracking. By handling these operational activities, the role allows Delivery Specialists to focus on complex, end-to-end logistics and learner experience.

Key Accountabilities

  • Manage recurring tasks such as video uploads, translation tracking, roster processing, and distribution list updates.
  • Prepare and send recurring email communications (e.g., onboarding reminders, program notifications).
  • Support learning program readiness through scheduling activities such as room reservations and calendar invites.
  • Conduct basic SharePoint page edits and metadata updates to keep content accurate and accessible.
  • Create purchase orders, track invoices, and support financial transactions for learning programs.
  • Run and distribute recurring reports to stakeholders, escalating issues as needed.
  • Provide support to Learning Delivery Specialists and other Shared Services roles by completing assigned executional tasks accurately and on time.

Minimum Qualifications

  • Education – Full time graduation from an accredited university (Mandatory- Note: This is the minimum education criteria which cannot be altered)
  • 1–3 years of experience in administrative, operations, or support roles.
  • Strong attention to detail and ability to manage recurring tasks with accuracy.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfort learning new systems quickly.
  • Strong written and verbal communication skills in English.
  • Ability to prioritize and manage multiple requests simultaneously.
  • Collaborative mindset and willingness to provide support across global teams.

Preferred Qualifications

  • Experience with Learning Management Systems (LMS) and/or SharePoint content updates.
  • Familiarity with purchase order creation, invoice tracking, or other basic finance processes.
  • Prior experience in HR, Learning, or Shared Services environments.
