Position Summary:
The HR Coordinator acts as the primary point of contact between the HR team and internal/external stakeholders. This role is responsible for ensuring smooth coordination, scheduling, logistics, and communication support for senior HR leaders. The individual will also contribute to HR business planning activities, event coordination, and process documentation to ensure efficient HR operations.
Key Responsibilities:
1. Coordination & Communication
- Serve as the point of contact between the HR team and internal/external stakeholders.
- Liaise effectively with teams across locations to schedule meetings and manage pre- and post-meeting follow-ups.
- Coordinate with Admin, IT, and other departments to ensure smooth HR operations.
2. Schedule & Calendar Management
- Manage daily agenda, meetings, and appointments for senior HR leaders.
- Arrange and book conference rooms, virtual meetings, and necessary logistics.
- Prepare meeting agendas, minutes, and track follow-up actions.
- Ensure timely updates and alignment of HR priorities through effective scheduling.
3. Travel & Logistics Management
- Manage travel arrangements for senior HR members (flight, accommodation, transportation).
- Oversee end-to-end logistics to ensure seamless execution of meetings, visits, and events.
- Act as the point of contact for global visitors plan and manage their agenda during office visits.
4. Stakeholder & Event Management
- Organize internal team meetings (weekly, fortnightly, monthly) and HR/business leadership events.
- Coordinate internal and external HR events such as townhalls, offsites, and engagement activities.
- Ensure alignment of event logistics, communication, and follow-up actions.
5. Operations & Documentation
- Manage expense reports, vendor invoices, and coordinate with Finance for timely payments and closure.
- Maintain accurate records, documentation, and filing systems for HR projects and communications.
- Develop reports, presentations, and briefs as required by HR leadership.
- Monitor compliance and Learning & Development (L&D) training completion; send reminders as necessary.
Technical Skills:
- Proficiency in MS Office Suite (Outlook, Excel, PowerPoint, Word).
- Familiarity with HR tools/systems (Workday, SAP HR, etc.) is an advantage.
