Key Responsibilities
1. Office & Facility Management
Ensure smooth functioning of day-to-day office operations.
Oversee facility management including housekeeping, security, and maintenance.
Manage office supplies, procurement, vendor contracts, and inventory control.
Ensure compliance with safety, health, and environmental regulations.
2. Vendor & Contract Management
Negotiate with vendors for services like housekeeping, transport, catering, and maintenance.
Monitor vendor performance and maintain service-level agreements (SLAs).
Maintain relationships with service providers for cost-effectiveness and quality.
3. Administrative Operations
Supervise support staff (receptionists, office assistants, drivers, etc.).
Implement and enforce administrative policies and procedures.
Manage travel bookings, accommodation, and logistics for employees.
Handle correspondence, mail, and other communication support.
4. Budgeting & Cost Control
Prepare and manage the administrative budget.
Track expenses, reduce overhead costs, and ensure optimal resource utilization.
Approve invoices and payments related to admin activities.
5. Compliance & Risk Management
Ensure legal and regulatory compliance for office facilities and contracts.
Maintain records of licenses, renewals, and statutory compliances.
Develop emergency response plans and oversee safety/security protocols.
6. Employee Support & Engagement
Provide administrative support to employees for day-to-day requirements.
Ensure workplace comfort, including seating arrangements, cafeteria, and transport.
Organize office events, meetings, and conferences.
