Job Description

Key Responsibilities 1. Materials Handling & Inventory Receive, inspect, and document raw-material inward shipments; update stock ledgers accurately. Coordinate outward dispatches: prepare order documents, arrange transport, and maintain dispatch logs. Monitor inventory levels; flag reorder points and assist with cycle counts. 2. Data Entry & Documentation Maintain digital records of all transactions using MS Excel and/or Tally: material receipts, dispatches, production outputs, and lab samples. Generate and archive standardized lab and production reports as per templates. Prepare basic documentation: purchase vouchers, inward/outward registers, and sample request forms. 3. Reporting & Financial Support Compile weekly and monthly dashboards covering orders, quantities, inventory movements, and labour metrics (attendance, salary payouts). Assist with simple variance analysis: budget vs. actual material usage and cost tracking. Support monthly finance reviews by consolidating data and preparing presentation-ready summaries. 4. Digital Communications & Coordination Operate computer workstation and collaborate via WhatsApp groups and email to relay real-time updates to supervisors. Manage shared folders or drives for distributing report templates and finalized documents. Liaise with procurement, production, lab, and finance teams to resolve discrepancies and expedite workflows. 5. Quality & Compliance Ensure all data entries and reports meet accuracy and completeness standards. Adhere to SOPs for materials handling, data management, and safety protocols. Identify and escalate any process deviations or data inconsistencies to the supervisor promptly. 1–2 years of experience in operations support, inventory management, or administrative reporting—preferably in a manufacturing environment. Technical Competencies Proficient in MS Excel (data entry, formulas, pivot tables) and MS Word. Working knowledge of Tally or similar ERP/accounting software is negotiable. Comfortable using WhatsApp, email, etc. platforms for coordination.
