Job Title: Export & Logistics Executive

Location: Madhavaram, Chennai

Role Objective

The Export Executive will support end-to-end export operations, coordinate with freight forwarders and CHA, ensure accurate documentation, supervise warehouse labor activities, and maintain smooth daily logistics and administrative operations. This role acts as the operational bridge between the warehouse floor, CHA, transporters, finance, and the Export Manager.

Key Responsibilities

1. Export Coordination & Documentation Support

  • Assist the Manager in preparing and verifying export documents including:
  • Commercial Invoice, Packing List, COO, BL, FSSAI/Phyto Certificates and other trade documents.
  • Coordinate with CHA, freight forwarders, shipping lines, and CFS for booking, SI submission, and cargo movement.
  • Track vessel schedules, cut-off times, and port operations to ensure timely dispatch.
  • Handle customer communication related to shipment updates, ETD/ETA, pre-alerts, and documentation completeness.
  • Maintain export file archives (soft & hard copies) for audit and bank compliance.

2. Logistics & Transport Operations

  • Plan and coordinate daily dispatch schedules with transporters and warehouse team.
  • Ensure timely vehicle placement, container loading, sealing, and dispatch documentation.
  • Track freight rates, maintain cost-comparison records, and assist the manager in negotiations.
  • Update daily shipment trackers and communicate deviations proactively.

3. Warehouse & Labor Coordination

  • Supervise and guide blue-collar staff such as packers, helpers, loaders, and cleaners.
  • Support the Manager in ensuring FIFO, stock accuracy, packing hygiene, and correct labeling.
  • Monitor daily warehouse activities and ensure that tasks are completed as per schedule.
  • Assist in stock counting, inward/outward documentation, and QC checks along with the Food Technologist/Manager.
  • Enforce workplace discipline, safety, and PPE compliance among labor teams.

4. Hygiene, Safety & Food-Handling Compliance

  • Assist in implementing hygiene SOPs for food-grade material handling.
  • Ensure daily sanitation checks, pest-control coordination, and proper housekeeping.
  • Identify and report moisture, contamination risks, or storage deviations.

5. Administration & Reporting

  • Maintain basic operational records:
  • Transport bills
  • Daily dispatch logs
  • Packing material consumption
  • Attendance of warehouse labor
  • Petty cash utilization
  • Support Finance/Accounts in verifying freight & CHA invoices.
  • Prepare daily/weekly MIS reports on stock, shipments, manpower, and cost for management review.

Key Skills & Expertise:

  • Bachelors/ Masters Degree / Diploma in Logistics, Supply Chain, or International Trade preferred.
  • 2–6 years in logistics, export support, warehouse operations, or CHA coordination.
  • Experience in freight forwarding, CFS coordination, or export documentation is a strong advantage.
  • Knowledge of Incoterms, BL, SI, HS Codes, and export flow.
  • Basic knowledge of warehouse operations (stock, FIFO, loading).
  • Strong in Excel, Google Sheets, and document handling.
  • Good communication skills (email, CHA coordination, follow-up).
  • Ability to manage and guide blue-collar staff effectively.
  • High ownership, discipline, and problem-solving ability.

Job Type: Full-time

Pay: ₹40,000.00 - ₹45,000.00 per month
