Job Description

Position: Sr. Executive – HR & Admin Location: Bhiwadi, Rajasthan No. of Vacancy: 1 Education Qualification: BBA/B.Com/M.B.A Industry Specific: Manufacturing Experience: ( 1) 4+years of relevant experience in personnel and administration functions in a Manufacturing or project-based company. (2) Experience in handling contractor workforce and time office operations is essential. Key Roles & Responsibilities: 1. Contractor Labour Management ∙Maintain contractor employee records, including on boarding, ID issuance, induction, and compliance documents (e.g., ESI, PF and CLRA). ∙Ensure compliance with statutory norms and company policies related to contract labour engagement. ∙Monitor attendance, deployment, productivity, and work hours of contract labourers. ∙Coordinate with contractors for monthly labour requirement planning and grievance redressal. 2. Time Office Management ∙Supervise and maintain attendance systems for all categories of workers including contract labour and staff. ∙Validate attendance data for payroll inputs and contractor billing. ∙Generate daily, weekly, and monthly reports on attendance, overtime, shift performance, and absenteeism. ∙Coordinate with IT or vendor in case of issues in biometric or access control systems. 3. Contractor Bill Verification ∙Scrutinize and process monthly contractor bills – time rate, piece rate, and job work-based. ∙Validate work done through user department confirmation and attendance data. ∙Coordinate with finance/accounts team for timely bill processing and payments. ∙Maintain records for audits and contractor history. 4. Reporting and MIS ∙Prepare periodic reports: labor deployment, absenteeism, OT, contractor cost analysis, admin cost summary. ∙Provide data for management reviews and statutory filings. ∙Maintain up-to-date documentation and reports for internal audits and legal compliance. 5. Admin Bill Management ∙Process and verify administrative bills related to office supplies, housekeeping, canteen, gardening, and other services. ∙Coordinate with vendors and the finance department to ensure timely bill submission, verification, and payments ∙Maintain a master tracker for all admin-related services and contracts with due dates and renewal status 6*. Transport Management * ∙Manage transportation facilities for employees including buses, autos, and hired taxis. ∙Prepare and monitor transport schedules and routes in coordination with the transport vendor. ∙Proper tracking of Transport agency regarding extra trips. ∙Ensure compliance with transport safety protocols and employee comfort. 7. Civil Activity Management ∙Coordinate with the civil contractor or internal team for minor civil maintenance and repair work in the premises. ∙Maintain job registers, work orders, and follow-up till work completion. ∙Monitor civil work quality, material usage, timelines, and contractor bills. ∙Issuance of Work Permit as per scheduled jobs and works. 8. Hotel and Taxi Management ∙Coordinate booking of hotels and taxis for official travel and guests as per company policy. ∙Maintain proper records of bookings, invoices, and approvals. ∙Ensure timely payment of hotel and travel bills with proper verification and documentation. ∙Regularly assess service quality and cost-effectiveness of vendors. 9. Piece Rate and Supply Rate Contractor Bill Management ∙Scrutinize and process bills related to piece-rate or job-work contractors. ∙Ensure quantity verification, rate validation, and compliance with scope of work. ∙Maintain proper documentation, including work completion certificates and contractor ledger updates. ∙Coordinate with user departments and accounts for smooth bill passing and payment cycle. Required Skills and Competencies ∙Strong knowledge of labor laws, especially CLRA Act, Factories Act, and statutory compliances. ∙Proficiency in MS Excel & have at least 30 WPM typing Speed., ∙Good interpersonal and communication skills for coordination with contractors, vendors, and internal departments. ∙Attention to detail and strong documentation abilities. ∙Ability to multitask and manage field activities alongside office operations.
