Job Summary:

We are seeking a highly organized, proactive, and strategically-minded individual to serve as a dual-role Executive Assistant to the Managing Director and Transformation Manager. This pivotal role will provide comprehensive support to the MD while simultaneously driving the coordination and oversight of our critical Business Transformation Project across all departments. The ideal candidate will be a master communicator, adept at managing complex projects, analyzing data, and fostering cross-functional collaboration within a fast-paced retail garment environment.

Key Responsibilities:

I. Executive Assistant to Managing Director (Approx. 50%):

  • Provide high-level administrative support to the MD, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents for the MD.
  • Act as a primary point of contact for internal and external stakeholders, screening and prioritizing communications to the MD.
  • Organize and attend meetings, prepare agendas, take minutes, and ensure follow-up on action items.
  • Conduct research, compile data, and prepare reports or summaries as directed by the MD.
  • Handle confidential information with discretion and maintain a high level of professionalism.

II. Transformation Manager (Approx. 50%):

  • Project Coordination & Oversight:
  • Work closely with the MD and project leads to define transformation initiatives, objectives, and key performance indicators (KPIs).
  • Develop and maintain a consolidated project tracker, providing real-time visibility into the status, progress, and interdependencies of all transformation initiatives across departments (e.g., Supply Chain, Merchandising, Operations, IT, Marketing).
  • Coordinate regular project update meetings with departmental heads and the MD, ensuring timely reporting and addressing potential roadblocks.
  • Cross-Functional Collaboration:
  • Facilitate communication and collaboration between various departments involved in the transformation project.
  • Identify and help resolve inter-departmental conflicts or resource constraints that could impede project progress.
  • Champion the transformation vision and objectives across the organization.
  • Data Analysis & Reporting:
  • Collect, analyze, and interpret project data to assess performance against targets.
  • Prepare comprehensive progress reports, dashboards, and presentations for the MD and senior leadership.
  • Identify variances, risks, and opportunities, and recommend corrective actions.
  • Change Management Support:
  • Assist in communicating change initiatives and their benefits to relevant stakeholders.
  • Support initiatives aimed at fostering adaptability and engagement among employees during the transformation.

Qualifications:

  • Bachelor's degree in Business Administration, Retail Management, Project Management, or a related field.
  • [5+] years of experience in a high-level Executive Assistant role, combined with experience in project coordination or management, preferably within the retail or manufacturing sector.
  • Proven experience in managing complex projects and coordinating across multiple departments.
  • Strong understanding of retail operations, supply chain, and business processes in a large format environment is highly desirable.
  • Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills, with the ability to articulate complex information clearly and concisely to diverse audiences.
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); advanced Excel skills (pivot tables, data analysis) are a must. Experience with project management software (e.g., Asana, Monday.com, Jira) is a plus.
  • Strong analytical and problem-solving abilities, with a data-driven approach to decision-making.
  • Discretion, integrity, and the ability to handle confidential information with utmost professionalism.
  • Proactive, self-motivated, and able to work effectively with minimal supervision.
