Role Overview

Key Responsibilities

1. Executive & Operational Support

  • Manage the Director’s daily calendar, travel plans, and meeting schedules.
  • Provide end-to-end assistance during domestic & international business trips (logistics, itineraries, documentation, and meeting notes).
  • Accompany leadership on select business trips to ensure smooth execution of agendas.

2. Communication & Correspondence

  • Draft, review, and send professional emails, letters, and reports on behalf of leadership.
  • Translate executive decisions into clear communication for internal & external stakeholders.
  • Prepare presentations, agendas, and minutes of meetings with precision.

3. Internal Communication & Coordination

  • Act as a

    bridge between executives and field teams

    , ensuring alignment of priorities.
  • Track assignments given by leadership and follow up with teams until closure.
  • Coordinate across departments to ensure timely task completion.
  • Monitor progress and report updates/alerts to management.

4. Record Keeping & Administration

  • Maintain confidential company and director-level records.
  • Organize operational documentation, compliance files, and reporting data.
  • Support HR and Finance with sensitive record management as needed.

5. Risk, Analysis & Reporting

  • Identify potential risks, missed deadlines, or execution gaps.
  • Compile status reports, performance summaries, and business briefs for director review.
  • Provide insights based on field feedback, competitor activity, and internal challenges.


Candidate Expectations

  • Fluent in English (spoken & written) with

    exceptional email writing skills.

  • Well-groomed, professional, and confident personality with excellent etiquette.
  • Strong skills in

    internal communication & coordination

    (bridging management and field).
  • Ability to manage schedules, priorities, and multiple parallel tasks.
  • Proficiency in

    MS Office (Word, Excel, PowerPoint)

    .
  • High discretion & confidentiality in handling sensitive information.
  • Flexibility to travel with management when required.


Qualifications & Experience

  • Graduate / Postgraduate in Business Administration, Commerce, Arts, or related fields.
  • 5–8 years of experience

    as an Executive Assistant, Secretary, or Coordinator.
  • Proven ability to handle

    executive-level communication and scheduling.

  • Exposure to

    operations, administration, or multinational environments preferred.
