Role Objective

Executive Assistant to the MD

🚀

Key Responsibilities

1. Administrative & Calendar Management

  • Own the MD’s calendar: manage cross-time zone meetings, agendas, and follow-ups.
  • Plan, organize, and coordinate domestic & international travel, including visas and accommodations.
  • Accompany the MD on business trips to ensure end-to-end execution of meetings, events, and exhibitions.

2. Operational Coordination

  • Track and monitor critical projects: Pvt Ltd conversion, investor due diligence, EU subsidiary setup, and more.
  • Coordinate with department heads and maintain detailed task trackers.

3. Communication, Exhibitions & Stakeholder Engagement

  • Draft professional business correspondence, resolutions, and investor updates.
  • Manage end-to-end participation in global exhibitions and trade shows.
  • Build and nurture relationships with key stakeholders including investors, consultants, and global partners.

4. Investor Relations & Compliance Support

  • Support corporate finance by compiling data for valuations, agreements, and compliance reports.
  • Maintain statutory filings and corporate documentation.

5. Marketing & Business Development Support

  • Assist with website SEO, LinkedIn campaigns, and product launches.
  • Keep CRM updated with leads, opportunities, and client interactions.

6. Confidential Support

  • Handle sensitive information with discretion and absolute confidentiality.
  • Prioritize and manage MD’s requests effectively.

  • Exceptional organizational and multitasking skills.

  • Proficiency in Google Workspace, MS Office, and project management tools.
  • Basic financial analysis and reporting skills.

  • Stakeholder management experience, especially in exhibitions/trade shows.
  • Professionalism, discretion, and flexibility to travel alongside the MD.
🎓

Qualification & Experience

  • Graduate/Postgraduate in Business Administration, Commerce, or related field.
  • 3–6 years of experience as EA / Chief of Staff / Business Coordinator supporting senior leadership.
  • Exposure to corporate finance, compliance, exhibitions, and international trade is a strong plus.
  • Proven travel management experience and readiness to travel internationally with the MD.
