Job Title: Executive Assistant to Director

Job Summary:
We are seeking a highly organized, proactive, and professional Executive Assistant to support our Director in a fast-paced environment. The successful candidate will be responsible for managing schedules, coordinating meetings, handling communications, and supporting day-to-day operations to ensure the Director’s time is optimized and strategic goals are met.
Key Responsibilities:
* Calendar & Schedule Management:
Maintain and manage the Director’s calendar, including scheduling internal and external meetings, appointments, and travel arrangements.
Prioritize and coordinate scheduling conflicts with efficiency.
* Administrative Support:
Prepare, edit, and format reports, presentations, and correspondence.
Take meeting minutes, draft agendas, and follow up on action items.
Manage incoming emails, calls, and other communications on behalf of the Director.
* Travel & Event Coordination:
Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
Coordinate logistics for meetings, conferences, and company events involving the Director.
* Information Management:
Maintain confidentiality and discretion when handling sensitive information.
Organize and maintain files, documents, and records (both physical and digital).
* Stakeholder Liaison:
Serve as the point of contact between the Director and internal/external stakeholders.
Build and maintain professional relationships with key contacts.
* Project Assistance:
Assist with the execution of strategic projects and initiatives as delegated by the Director.
Track progress and prepare status reports when required.
Qualifications:
Bachelor’s degree in Business Administration or related field preferred.
2–4 years of experience in an executive support role, preferably supporting a senior leader or director.
Excellent organizational, communication, and interpersonal skills.
High level of discretion and professionalism.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Zoom, Teams, Google Workspace).
Ability to work independently, manage multiple priorities, and remain calm under pressure.
Preferred Skills:
Strong writing and communication skills.
