Primary Job Title: Executive Assistant to CEO

About The Opportunity

A high-growth enterprise technology group operating in the Artificial Intelligence & software product sector, building cloud-native and AI-enabled solutions for B2B customers. We run fast-paced product and go-to-market teams and need a highly organised, discreet Executive Assistant to support the CEO on-site in India.Role & Responsibilities
  • Manage CEO’s daily agenda: prioritise meetings, maintain and optimise the calendar, and ensure punctual preparation and follow-ups.
  • Coordinate complex domestic and international travel: bookings, itineraries, visa logistics, and on-the-ground adjustments.
  • Prepare and maintain executive-level documents: presentations, briefing notes, board packs, and confidential reports.
  • Liaise with internal leadership, investors, and external partners to schedule, confirm, and coordinate high-impact meetings and events.
  • Oversee expense reporting, invoice approvals, and reimbursement workflows to ensure timely and compliant processing.
  • Handle sensitive information with utmost discretion and act as the CEO’s trusted gatekeeper to protect time and priorities.

Skills & Qualifications

Must-Have

  • Proven experience supporting C-level executives (preferably CEO) in a fast-paced technology environment.
  • Advanced proficiency in Microsoft Outlook, Excel and PowerPoint; comfortable building exec-grade slide decks.
  • Strong calendar management and travel coordination capabilities, including complex itineraries.
  • Experience with expense management systems and month-end reconciliation processes.
  • Excellent written English for drafting emails, briefings, and confidential communications.
  • Demonstrated ability to handle confidential materials and exercise professional discretion.

Preferred

  • Familiarity with Concur or other corporate expense platforms.
  • Experience with Notion, Asana or Trello for task and project management.
  • Prior exposure to investor relations, board support, or fundraising logistics.
