Job Description

Role Overview: As an Executive Assistant to Founders in the Founder's Office, you will provide high-caliber administrative and strategic support to Pallavi. Your main responsibility is to streamline communications, manage priorities, and drive special projects to ensure efficient execution of day-to-day responsibilities and long-term initiatives. Acting as a trusted partner, you will play a crucial role in enhancing productivity and effectiveness. Key Responsibilities: - Manage Pallavi's calendar and travel arrangements, coordinating a complex, multi-time-zone schedule with various commitments including board meetings, investor calls, retail site visits, and off-site events. - Arrange detailed travel itineraries and accommodations to ensure smooth logistics for Pallavi's trips. - Draft, proofread, and manage correspondence on behalf of Pallavi, serving as a gatekeeper to prioritize and route inquiries effectively. - Coordinate meetings by preparing agendas, collating briefing materials, taking concise minutes, and following up on deliverables with cross-functional teams. - Oversee special projects such as retail expansion rollouts, investor due diligence, and strategic partnerships by tracking project milestones, coordinating stakeholders, and surfacing potential risks. - Maintain organized digital and physical filing systems for contracts, board materials, and confidential documentation to ensure data integrity and security. - Cultivate relationships with internal leadership, investors, and external partners with discretion and professionalism. - Identify process improvements, implement tools like Asana, Notion, and Slack workflows to automate routine tasks, and enhance the efficiency of the Founder's Office. Qualifications Required: - At least 5 years of experience as an Executive or Personal Assistant supporting C-suite executives, preferably in a high-growth startup or fast-paced environment. - Exposure to retail, e-commerce, or consumer brands, and experience coordinating investor or board-level activities would be desirable. - Bachelor's degree in Business Administration, Communications, or a related field is mandatory. - Expertise in calendar systems and travel-booking platforms, exceptional organizational skills, high attention to detail, proficiency in MS Office or Google Workspace, strong communication skills, discretion in handling confidential matters, a collaborative attitude, familiarity with project-management tools, and basic data reporting capabilities are key competencies required for this role.,
