Job Description

Executive Assistant


supporting senior executives or C-suite leadership


Key Responsibilities

Executive Support & Communication

  • Provide high-level administrative and organizational support to the

    C-suite and senior leadership

    .
  • Manage and prioritize complex calendars, meetings, and correspondence across multiple time zones.
  • Prepare, review, and edit communications, reports, and presentations with exceptional attention to detail.
  • Act as a liaison between senior leadership, internal departments, and external partners to ensure effective communication and follow-through.

Scheduling & Coordination

  • Plan and coordinate executive calendars, meetings, conferences, and off-site events.
  • Manage both

    business and personal travel logistics

    for executives, including flights, accommodations, and itineraries.
  • Oversee internal and external event coordination to ensure smooth execution.

Operational & Financial Assistance

  • Review and track executive documents, financial reports, and statements.
  • Manage approvals for invoices, payments, and expenses.
  • Reconcile company credit cards and ensure accurate recordkeeping.
  • Maintain oversight of corporate donations, sponsorships, and community engagement initiatives.

Executive Projects & Administration

  • Support senior leadership in executing high-priority strategic initiatives and special projects.
  • Manage confidential information with the highest degree of professionalism and discretion.
  • Develop and maintain efficient systems for document management, reporting, and task tracking.

Aviation Coordination

  • Manage the

    Onni Airways

    flight schedule, liaising with pilots and operations teams to ensure seamless travel coordination for directors and ownership.


Qualifications

  • 5+ years of experience

    supporting

    C-suite or senior leadership

    in a corporate or multinational environment.
  • Advanced proficiency in

    Microsoft Office Suite

    (Word, Excel, PowerPoint, Outlook, SharePoint).
  • Proven ability to handle confidential and sensitive information with discretion.
  • Excellent

    written and verbal communication

    skills, including professional correspondence and report preparation.
  • Strong organizational and time management skills with the ability to manage multiple priorities effectively.
  • High level of professionalism, judgment, and interpersonal skills.
  • Experience in

    real estate, finance, construction, property management, leasing, or marketing

    is a strong asset.
