Job Description

The BIRO facilitates and oversees activities to implement the requirements of the Records Management policy within their respective Unit (IB and Cross Product Operations). BIROs will be the key point of contact between the Group Records Management Office (GRMO) and business and technology Units.

    Your key responsibilities

    As part of the role, you will be responsible for below areas of delivery

    • Provide oversight and co-ordination of the Records Inventory and on-going Records Inventory recertification
    • Co-ordinate the update and maintenance of the Inventory.
    • Understand where Records in the Unit are stored; create and sign-off that the Records Inventory for their Unit is complete and accurate
    • Coordinate annual review and obtain attestation from Inventory Owner that the refreshed inventory adequately represents the Records relevant to the locations and activities under their responsibility as Inventory Owner.
    • Provide Records Management training to Employees in their Unit and respond to queries
    • Advocate of good Records Management practice, share best practice, hints and tips and maintain Key Operating Documentation
    • Liaise with GRMO regarding business issues and queries including support and sign-off on re-retirement SAR process
    • Actively participate in Records Management Briefing Calls and other associated BIRO Forums
    • Monitor business requirements and identify potential changes to business retention schedule / raise Change Request
    • Retain Records in accordance with the Master Retention Schedule (MRS)
    • Monitor changing business requirements and identify potential changes to Master Retention Schedule (MRS).
    • Review records for disposal and make recommendations
    • Sign-off that Records are eligible for disposal and there are no Record preservation obligations and obtain final approval to dispose from the Inventory Owner or their nominated delegate and GRMO.
    • Escalate issues regarding records marked for disposal, retention periods or legal holds.
    • Involvement in investigations / notifiable events / incidents / findings in relation to records in their business
    • Understand and adhere to the Records Management Policy

    Your skills and experience

    • Should have 3+ years of total work experience in similar role.
    • Should have good experience in Records Management and risk management (including technical background), or similar background in the business or having worked with a business unit of advantage.
    • In-depth knowledge of different Records Management standards for banks/financial institutions.
    • Flexible to work in different time zones and ability to work under pressure and tight deadline.
    • Ability to manage multi-tasks assignments and efficiently prioritize workload with limited supervision and resilient under pressure.
    • Analytical skills to evaluate risks and control processes.
    • Ability to build a network in the business and among business managers, stake holders and subject matter experts
    • Strong communication skills both verbal (incl. presentation skills) or written and ability to deal with people at all levels in a global matrix organization
    • Flexible, proactive and innovative.
