Position Overview

Responsible for day-to-day general facility operations, housekeeping, engineering support, caf services, employee transport, vendor management, and compliance. Physical security, access control and CCTV are excluded from this role.-


Key Responsibilities :


1. General Facility Management

a. Manage daily operations of the facility to ensure a safe, efficient, and well-maintained environment.

b. Coordinate maintenance and upkeeping of all office floors, meeting rooms, common areas, and building infrastructure.

c. Oversee AMC renewals, breakdown maintenance, preventive maintenance schedules, and vendor SLAs.


2. Housekeeping & Soft Services

a. Oversee housekeeping operations to maintain high hygiene and cleanliness standards.

b. Ensure adherence to checklists, shift rosters, deep cleaning schedules, consumables replenishment, and service quality parameters.

c. Manage pest control operations and ensure defined intervals and compliance.


3. Caf / Pantry Operations

a. Supervise caf & pantry management, including food service quality, hygiene audits, stock management, and vendor adherence.

b. Ensure smooth operations during peak hours, events, and employee engagement activities.


4. Engineering & Critical Equipment Management

a. Oversee operations and maintenance of critical equipment including:

b. Electrical Systems

c. PAC (Precision Air Conditioning)

d. UPS Systems

e. WLD (Water Leak Detection)

f. Rodent Repellent Systems

g. Gas Suppression Systems


5. Ensure preventive maintenance and troubleshooting through OEMs/AMCs.

a. Maintain equipment health reports and escalations for breakdowns.

b. 5. Employee Transport Management

c. Manage end-to-end employee transportation operations, routing, shift movement, and schedule management.

d. Coordinate with transport vendors for compliance, billing, deployment of vehicles, driver conduct, and safety guidelines.

e. Monitor TATs, emergency support, and adherence to women employee night-shift norms.


6. Vendor Management

a. Manage all facility-related vendors including housekeeping, pest control, caf, engineering, transport, and other service providers.

b. Conduct regular vendor meetings, performance reviews, SLA adherence checks, and operational improvements.

c. Ensure cost control, contract renewals, and service benchmarking.


7. Audit & Compliance

a. Ensure site compliance with statutory norms, facility audits, ISO standards (if applicable), fire and safety norms, and workplace policies.

b. Conduct internal audits for housekeeping, pantry, engineering, and transport services.

c. Maintain documentation for audits, compliance records, and monthly MIS.


8. Budget & Reporting

a. Support administrative budgeting, cost optimization, invoice verification, and tracking of operational expenses.

b. Prepare daily/weekly/monthly reports on facility operations, vendor performance, and compliance.


9. Stakeholder Management

a. Work closely with HR, IT, Security, and Leadership teams to support site operations.

b. Address employee concerns related to facilities and service delivery, ensuring high satisfaction levels.


Required Qualifications & Skills :

c. Bachelors degree; preferred specialization in Facility Management, Hospitality, or Business Administration.

d. 5–8 years of experience in Facility / Admin Management, preferably in ITES, BPO, or corporate environments.

e. Strong knowledge of engineering systems, housekeeping operations and transport administration.

f. Excellent vendor negotiation and contract management skills.

g. Strong communication, team management, and problem-solving abilities.

h. Ability to manage a 247 facility with shift coverage as required.
