The Administration Assistant, Phenomenex is responsible for Admin and Front office roles who is responsible for overseeing the Office administration and Daily front office operations.

This position reports to the Finance Controller- APAC, India and is located in Hyderabad and will be an on-site role.

In this role, you will have the opportunity to:

  • Oversee the office Administration and daily front office operations to maintain an organized and efficient work environment, while handling daily incoming and outgoing communications – Including mails, emails, Phone calls etc., Also, assist visitors and clients, ensuring a professional and welcoming environment.
  • Coordinate logistics for meetings and conference and company events. Also, address inquiries and provide information as needed. Assist in basic accounting tasks such as invoice processing, expense tracking, and budget monitoring.
  • Responsible stock management - office supplies, equipment, and inventory, ensuring timely procurement and maintenance. Vendor and client interaction and visitor logs, Security/housekeeping compliance and Courier Management.
  • Manage calendars for executives and team members, scheduling meetings, appointments, and travel arrangements. Oversee office maintenance, including cleanliness, repairs, and safety protocols. Also, Perform ad hoc tasks as assigned by management.

The essential requirements of the job include:

  • Bachelor’s degree with 2 to 4 years’ experience in front office and office administration.
  • Proficiency in Office Software: Command of Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Organizational Skills: Ability to multitask, prioritize tasks, and manage time effectively.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Problem-Solving Abilities: Capability to address and resolve issues promptly and efficiently.
  • Confidentiality: Understanding of the importance of maintaining confidentiality in handling sensitive information.

Travel, Motor Vehicle Record & Physical/Environment Requirements: if applicable for role

  • Ability to travel – 10% to 20%.
  • Ability to lift, move or carry equipment, any other physical requirements.

It would be a plus if you also possess previous experience in:

  • Good to have experience in handling the front office role.
