Job Summary:

The Admin Manager will be responsible for overseeing and managing the overall administrative operations of the organization to ensure efficiency, effectiveness, and compliance. This role involves supervising administrative staff, managing vendor relationships, coordinating facility management, handling budgets, and supporting organizational processes to maintain a smooth daily workflow.

Key Responsibilities:

1. Office & Facility Management

Oversee maintenance, security, and housekeeping operations across office premises.

Ensure smooth functioning of utilities, infrastructure, and assets.

Monitor AMC contracts, vendor performance, and facility upgradation.

2. Administration & Operations

Manage travel, accommodation, and logistics arrangements for employees and management.

Oversee front office operations, stationery, and pantry supplies.

Maintain records of office assets, repairs, and consumables inventory.

3. Vendor & Procurement Management

Identify, evaluate, and negotiate with vendors for cost-effective procurement of goods and services.

Ensure timely processing of purchase orders and invoices.

Maintain accurate vendor documentation and compliance records.

4. Budgeting & Cost Control

Prepare and monitor the administrative budget and control expenditures.

Optimize operational costs while maintaining service quality standards.

5. Compliance & Safety

Ensure compliance with company policies, statutory regulations, and safety norms.

Oversee licenses, insurance renewals, and statutory documentation.

Coordinate with HR and Security for workplace safety and employee welfare initiatives.

6. Team Management

Supervise and guide the administrative team and support staff.

Conduct regular performance reviews and ensure continuous skill development.

Key Skills & Competencies:

Strong organizational and time management skills.

Excellent communication, negotiation, and interpersonal skills.

Proficiency in MS Office and familiarity with ERP systems.

Ability to multitask and manage multiple priorities efficiently.

Strong problem-solving and decision-making ability.

Qualification & Experience:

Bachelor’s degree in Business Administration, Management, or related field (MBA preferred).

5 years of experience in administration, facilities, or operations management.

Experience in managing large office operations and vendor relations preferred.
