Job Description

Role Overview:


We are looking for a detail-oriented and proactive Admin & Facilities Manager to oversee all administrative, facility, and operational support functions across our studios/offices. Your role will ensure smooth day-to-day operations by managing utilities, maintenance, procurement, IT assets, travel, and overall workplace administration.


Key Responsibilities


Facility & Infrastructure Management

  • Oversee utilities (electricity, water supply, AC’s, water purifiers, pest control, etc.).
  • Manage AMCs for equipment (AC, water purifier, etc.).
  • Supervise repairs, maintenance, and vendor coordination.
  • Conduct housekeeping and cleaning audits to maintain hygiene standards.


Administration & Workplace Support

  • Manage printing, paperwork, and official documentation.
  • Arrange guest/customer needs including stay, snacks, and basic hospitality.
  • Supervise ACU team and maintain checklists for daily tasks.


IT & Asset Management

  • Manage IT assets (allocation, maintenance, tracking).
  • Maintain and audit other company assets.
  • Coordinate with IT vendors for troubleshooting and upgrades.


Procurement & Vendor Management

  • Handle end-to-end procurement and purchase processes.
  • Manage vendor relationships, contracts, and negotiations.
  • Track renewals of AMCs, service agreements, and procurement needs


Inventory Management

  • Maintain stock of consumables, merchandise, aftercare, and studio essentials.
  • Track inward/outward movement of materials across studios.
  • Conduct periodic inventory audits (monthly/quarterly).
  • Prevent stock-outs through timely procurement and forecasting.
  • Coordinate with finance for reconciliation of stock and purchases.


HR & Travel Support

  • Provide admin support during employee onboarding.
  • Manage bookings for travel tickets, hotels, and related logistics


Requirements

  • B.Com/BBA with 5+ years of experience in administration or facilities management.
  • Strong knowledge of vendor management, procurement, and AMC handling.
  • Familiarity with asset management practices.
  • Excellent communication, negotiation, and multitasking skills.
  • Proficiency in Google Workspace, and MS Office. Strong problem-solving skills with the ability to manage multiple priorities
