Job Description

We are seeking an experienced and dynamic Admin and Facility Management Manager to oversee administrative operations and facility management. This role includes managing activities related to the setup of a new manufacturing factory and ensuring its smooth ongoing operations. The ideal candidate will have a strong background in facility management, compliance, administrative coordination, and guest and travel management within an industrial or manufacturing environment.

Key Responsibilities and Accountabilities

  • Plan, coordinate, and oversee the setup of the new manufacturing facility, including space planning, equipment installation, and utilities management.
  • Ensure compliance with legal, safety, and environmental regulations during the factory establishment.
  • Collaborate with contractors, vendors, and internal teams for timely and efficient project completion.
  • Ensure proper maintece and upkeep of the factory premises, equipment, and utilities.
  • Develop and implement safety protocols, emergency response plans, and preventative maintece schedules.
  • Optimize energy usage and manage waste disposal in compliance with sustainability practices.
  • Liaise with local authorities and regulatory bodies to secure necessary permits and licenses.
  • Ensure the facility meets all health, safety, and environmental standards.
  • Prepare and manage budgets for administrative and facility-related expenditures.
  • Negotiate contracts with vendors for services such as security, cleaning, catering, and maintece.
  • Manage day-to-day administrative activities, including office supplies, vendor management, and contract negotiations.
  • Oversee documentation, record-keeping, and compliance with company policies and government regulations.
  • Implement systems for efficient communication and resource allocation across the organization.
  • Oversee travel arrangements for employees, including booking tickets, accommodation, and transportation.
  • Manage guest visits to the office or factory, ensuring smooth logistics, hospitality, and professional experience.
  • Coordinate with teams to organize travel itineraries and provide support during business trips or site visits.
  • Lead a team of administrative and facility support staff, ensuring high performance and alignment with organizational goals.
  • Provide training and guidance on safety, compliance, and operational best practices.

Educations Experience

  • Bachelors degree in business administration, commerce, or a related field.
  • 8-10 years of experience in facility and administrative management, preferably in a manufacturing environment.
  • Proven experience in factory setup or industrial facility projects is highly desirable.
  • Strong knowledge of safety regulations, compliance requirements, and facility operations.
  • Excellent leadership, negotiation, and communication skills.
  • Proficiency in project management and administrative tools.

Working Conditions:

  • This is a full-time position based in Bangalore, India that may require occasional evening or weekend work
