Executive Assistant to Head of Global Procurement & Assistant Controller Center: Noida NSL Location of Work: Hybrid (3 times in a week from office) Hours: 12noon to 9:00pm Band: Assistant Manager / Lead Assistant Manager Reporting To: Dual Reporting to Head of Global Procurement and Assistant Controller & Global Corporate Controller and Treasurer Department: Finance Role Summary The Executive Assistant (EA) will provide high-level administrative and strategic support to the Head of Global Procurement & Assistant Controller. This role requires a proactive and detail-oriented professional who can manage complex schedules, facilitate communication, coordinate cross-functional projects, and support decision-making. The EA will act as a trusted advisor, ensuring efficiency in daily operations while managing confidential and business-critical information with discretion. The ideal candidate will have strong organizational skills, business acumen, and experience supporting senior executives in a global corporate environment. They will be responsible for executive coordination, project management, stakeholder engagement, and operational support across finance and procurement functions. Key Responsibilities Manage the executive’s calendar, including scheduling meetings, prioritizing appointments, and ensuring optimal time management. Handle email correspondence, draft responses, and ensure timely follow-ups on key matters. Prepare briefing notes, reports, and presentations for internal and external meetings. Organize travel arrangements, including visas, accommodations, and itineraries. Act as a liaison between the executive and internal/external stakeholders. Support procurement and finance operations by coordinating critical initiatives, tracking progress, and ensuring timely execution. Support budget management activities, including expense tracking and approvals. Lead and coordinate cross-functional projects, ensuring alignment with business goals. Track action items, follow up with stakeholders, and provide status updates on key projects. Facilitate communication between global procurement teams, finance functions, and external partners. Develop and maintain strong relationships with internal and external stakeholders. Education & Qualifications Bachelor’s degree in business administration, Finance, or a related field. Technical Skills & Knowledge Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
