Job Description

The Tender Executive (GeM) will be responsible for managing the entire tendering process through the Government e-Marketplace (GeM) portal, from bid identification to submission and post-tender follow-up. The role requires a keen understanding of public procurement procedures, strong documentation skills, and the ability to coordinate with multiple departments to ensure timely and accurate bid submissions. Key Responsibilities:1. GeM Portal ManagementRegularly monitor the GeM portal for new tenders and business opportunities relevant to company products/services. Register, update, and maintain the company profile and product listings on the GeM portal. Handle bid participation, reverse auction, and online tender submission through GeM. 2. Tender Preparation & SubmissionStudy tender documents, eligibility criteria, and technical specifications. Collect required documents from internal departments (technical, finance, legal, etc.) for bid submission. Prepare pre-qualification documents, technical bid, and commercial bid as per tender requirements. Upload all required certificates — OEM authorization, MII (Make in India), Warranty, Non-Blacklist Declaration, etc. Ensure timely submission of bids before deadlines. 3. Documentation & ComplianceMaintain records of all tenders (submitted, won, lost) and supporting documents. Prepare and maintain standard company documents: GST, PAN, ISO, MSME, Authorization letters, etc. Prepare necessary affidavits, declarations, and notarized documents (e.g., ₹100 Notary Stamp Certificates). 4. Coordination & CommunicationCoordinate with internal teams (Sales, Purchase, Accounts, OEMs) for bid support and document collection. Communicate with clients, OEMs, and government departments regarding tender clarifications or queries. Follow up on bid status and participate in tender openings. 5. Post-Tender ActivitiesManage order acceptance, contract agreement signing, and related formalities after tender award. Coordinate with logistics and accounts teams for billing and dispatch after order receipt. Prepare performance reports on tender submissions and outcomes. Required Skills:Proficient in GeM portal operations (Bid participation, Reverse auction, Product upload). Good knowledge of Government procurement processes and tender documentation. Excellent MS Office (Word, Excel, PDF editing) and Internet research skills. Strong attention to detail and accuracy in documentation. Ability to work under deadlines and handle multiple tenders simultaneously. Good communication and coordination skills. Qualifications:Bachelor’s degree in Commerce, Business Administration, or relevant field. Minimum 1–3 years of experience in tendering, preferably on GeM portal. Knowledge of Public Procurement Rules, GFR, and e-Procurement systems will be an advantage. Key Attributes:Organized and proactive approach to work. High integrity and confidentiality in handling official documents. Team player with problem-solving skills. Ability to learn new systems and procedures quickly.
