Summary:

1) The candidate will be supporting the Admin Operations of the Corporate Services
2) The candidate should have the skill to mentor the team and work paralelly

 

Education:

Graduation/Diploma in any stream 

 

Experience:

1)    Candidate should have strong 10+ years of experience in administration field
2)    Preferably from armed force services backround 3)    Good administrative skills to handle the support staff,stakeholders. 4)    Experience in leading, managing and directing a team of people to deliver results.

Roles and Responsibilities

Responsibilities:

•    Staff Travel claims verification and processing as per Policy 
•    compilation of periodical MIS reports of travel expense , department wise - cost centre wise , expense type wise etc.  •    Staff expenses claims reimbursement . Verification of bills . Claims processing as per eligibility rules/ policy .  •    Maintenance of Petty cash for day to expenses.  •    Verification of Petty cash statement along with original bills .  Ensuring cash payments are minimised and strict compliance of IT Act guidelines for cash payments. •    Payable Invoices are to be pre verified with the PO and delivery compliance by respective departments. Payable invoices are to be sent to accounts department in a standardised template for further processing. Maintenance of scan copy of the payable invoices with standard naming convention for easy retrieval at a later date. •    Follow-up for timely submission of High value invoices by vendors. •    Liaison with Accounts team for payments processing •    Housekeeping  and security staff coordination - shifts rotation planning - monthly payment - collection of PF ESI and other compliance data from service agency.  annual contract renewal.  •    Maintenance of Hygiene material stock and ensuring timely re-order. Ensuring stock registers are maintained for  all purchases and distribution.   •    Periodical Disinfection spraying of office premises. •    Ensuring maintenance of sufficient daily essentials like milk and water  coffee consumables office.  •    Procurement of office stationery and maintenance of  necessary registers,  •    Liaison with  government departments , agencies  •    liaison with premises - building management team for regular maintenance of all facilities.  •    Maintenance of fire safety equipment and ensuring periodical Fire drill training for fire prevention . Co-ordinating internal ERT( Emergency Rescue team)  •    periodical preventive Maintenance of furniture and fixtures and asset records maintenance.  •    Maintenance of office equipment. E.g. Coffee machines , ACs , furniture and fixtures - co ordination activities - ensuring AMCs are in force and periodical renewal are done, •    Maintenance of  plants in side the office  premises. •    Electricity and water consumption at premises , verification of billing.  •    Premises Lease deed renewals and identification of additional premises  •    Maintenance of staff parking list duly updated  and informing with premises parking management team •    Issuance of parking stickers and maintenance of parking slots. •    Maintenance  and monthly updating of manual attendance register as per designation and seniority •    Maintenance of biometric devices  and attendance records. •    Hotel accommodation booking to staff and board of directors and executives. •    Billing verification with check in and check out from Hotel. •    Ensuring agreements with Hotels are signed and renewed periodically
