Job Summary

We are seeking a highly organized and experienced

Senior Admin Executive

to oversee and manage the day-to-day administrative operations of our manufacturing facility. The ideal candidate will have a solid background in administrative functions within a manufacturing or industrial environment, excellent communication skills, and the ability to multitask in a fast-paced setting. This role is critical in ensuring smooth plant operations, compliance with company policies, and support across various departments.

Key Responsibilities

Administrative Operations:

  • Manage daily administrative activities including office supplies, facility management, and vendor coordination.
  • Supervise support staff (e.g., office assistants, housekeeping, security, drivers).
  • Maintain and ensure smooth operation of office infrastructure, utilities, and maintenance schedules.

Facility & Asset Management

  • Oversee upkeep and maintenance of manufacturing premises, canteen, and utility areas.
  • Maintain inventory of company assets and ensure timely servicing and AMC (Annual Maintenance Contracts).
  • Coordinate with facility contractors and service providers for necessary upkeep.

Compliance & Documentation

  • Ensure compliance with statutory, environmental, and safety regulations applicable to administrative operations.
  • Maintain proper documentation for licenses, permits, audits, and administrative SOPs.

Vendor & Contract Management

  • Manage vendor relationships for housekeeping, catering, transportation, security, etc.
  • Negotiate contracts and ensure service-level agreements (SLAs) are met.

Transport & Logistics Support

  • Manage employee transport and ensure vehicle upkeep.
  • Coordinate logistics for internal movement of materials or official travel.

Budgeting & Cost Control

  • Assist in preparing administrative budgets and monitor expenditure.
  • Identify cost-saving opportunities while maintaining quality of services.

Employee Support & Communication

  • Facilitate onboarding logistics for new employees (workstations, ID cards, etc.).
  • Coordinate internal events, meetings, and employee engagement activities.

Requirements

Education:

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Additional certifications in Facilities Management or Industrial Administration is a plus.

Experience

  • 5+ years of relevant experience in administration, preferably in a manufacturing or industrial environment.
  • Proven experience in managing a team and handling plant-level admin operations.
