Job Description

Purpose/Objective


    To support the Lead Space Management in managing Property Portfolio (Owned & Leased) as per management directive for city space consolidation. This role primarily involves back-office work activities like floating enquiries to internal BU SPOC, preparing comparative statement, with data analysis and accuracy, documentation of collated information, NFA processing, tracking of pending and ongoing task on daily basis, MIS & reporting for decision making.

Key Responsibilities of Role


    Process, SOP & Compliance Ensure collation of property details as per data source (ADMS & others) Adherence to DOA & organisational set policies & Guidelines for NFA Processing of request in accordance with SOP City Space Consolidation Support in creating & maintaining City wise lease and owned property details capture required details datapoints To review the city wise details and analyse for merging into one location. To coordinate with all BU Admin/Important stakeholders for proposal of merging different space into single location as per seat requirements. To capture and address all BU/stakeholder’s requirements for new proposed locations for shifting/move at one location. To take inputs from major stakeholders for next 3-5years manpower/seat requirements in the consolidation of new proposed property To coordinate with Interior project team for Adani standard design and execution. Clarification from Site SPOC as per checklist Leased Property Renewal Track the consolidated city leased property renewal Review important terms and conditions during agreement review To track property surrender and related progress To track deposit refund in coordination with finance New Property To collect all statutory documents as per checklist To get document vetted by concern department To coordinate with interior project team for layout finalization To coordinate for NFA approval Governance and MIS Update the Property master time to time in line with ADMS data Front end the coordination for Automation on leased and owned property project. Dashboard for all property with multiple filters as per needs. Gather data needed to maintain MIS on property consolidation Tracking of Location wise Requirement in project charter To prepare NFA with cost comparison. To ensure and coordinate towards smooth movement of employees at one location To ensure notice to be served for proposed surrender office location and related tracking Stakeholder Partnering Prioritize commercial processing as per the requirement/urgency of User team. Provide inputs, feedback, and observations in the evaluation of leased property process and help resolve escalations.

Qualifications and Experience


    Educational Qualification: Any Graduate degree in any discipline is mandatory. Degree/Certification in data analytics would be preferred. Experiences: Minimum 5-7 years of experience in Administration/ back office/ data management/communication. Admin related contracting and legal knowledge ERP (SAP) knowledge will be added advantage.
