Job Description

Basic Functions/ Job Responsibility Warehouse Administration & Operations: Handle visitors and delegations, manage events, and oversee logistics for the startups team. Ensure smooth daily functions, improve operational processes, and manage office supplies and equipment. Oversee facility maintenance, security, and safety protocols for the startup warehouse. Manage logistics during events, including hotel bookings, transportation, and processing outstation staff bills. Lead the administrative/operations team and identify areas for skills improvement. Lead or support special projects related to administration and operations. Financial Management & Compliance: Develop and manage budgets, monitor spending, process transactions, and prepare financial reports. Coordinate with startups for seating allocation, prepare sub-lease agreements, monthly invoices, and raise receipts. Work with the finance team for monthly reporting of all income and expense statements. Coordinate with the accounts team for preparing bank reconciliation statements. Ensure adherence to all relevant laws, regulations, and company policies. Work with the external CA team for submitting reports to the Government and the finance team for audit purposes. Government & Investor Relations Support: Liaise with Government offices (specifically KBITS as mentioned in the original KRA context) for fund releases, PR, and follow-ups. Support the overall relationship management with government stakeholders. Vendor & Database Management: Negotiate contracts, monitor vendor performance, and recommend cost-effective solutions. Maintain all relevant databases, including startup reports, intern information, and event participant lists. Customer Service & Stakeholder Management: Provide high-quality service to stakeholders, address inquiries, and build positive relationships. General: Perform any other assignment as discussed and mutually agreed with the Reporting Manager. Work will be reviewed periodically by the Reporting Manager. Knowledge, Skills, Qualifications, Experience Proven experience in administration, operations, and financial management. Strong organizational and multitasking abilities. Proficiency in budget management, financial reporting, and transaction processing. Experience with compliance and regulatory adherence. Excellent negotiation and vendor management skills. Database management proficiency. Leadership and team development capabilities. Strong communication and interpersonal skills for stakeholder management.
