Key Responsibilities:

  • Serve as the primary liaison between the Vice Presidents and internal/external stakeholders, ensuring clear communication and timely responses.
  • Manage and maintain complex executive calendars, coordinating meetings and travel across multiple domestic and international time zones.
  • Organize and coordinate events, meetings, workshops, and conferences, including end-to-end logistics and preparation of materials.
  • Conduct research and compile information to support executive decision-making.
  • Maintain accurate and up-to-date records, files, and databases for easy access and reference.
  • Arrange and manage complex travel itineraries, including air, hotel, ground transfers, and visa requirements.
  • Handle highly confidential information with discretion and ensure the security of sensitive documents.
  • Maintain headcount reports, organizational charts, departmental distribution lists, management routine documents, and colleague recognition tracking (birthdays, anniversaries).
  • Champion team culture by organizing diverse, engaging events that foster collaboration, boost morale, and align with colleague sentiments and American Express values.
  • Prepare and process expense reports and invoices accurately and promptly; review submissions for policy compliance and highlight any exceptions.
  • Create and format professional documents, presentations, reports, and correspondence.
  • Support and coordinate special projects and departmental initiatives as assigned.


Qualifications :

  • 7–10 years of experience as an Executive Assistant or in a similar role supporting senior executives.
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
  • Strong experience with virtual meeting platforms (e.g., Webex).
  • Demonstrated ability to manage complex and dynamic schedules across multiple time zones.
  • Exceptional attention to detail, accuracy, and organizational skills.
  • Ability to prioritize, multitask, and perform effectively in a fast-paced, hybrid environment.
  • Excellent verbal and written communication skills.
  • Proven experience organizing large-scale meetings and managing domestic/international travel logistics.
  • Strong interpersonal skills and the ability to build relationships across levels and functions.
  • Proficiency in preparing reports, presentations, and maintaining correspondence and distribution lists.
  • Flexibility to adapt to the work styles and preferences of multiple executives.
  • Knowledge of Concur and Ariba systems preferred, but not mandatory.
  • Data analytics skills desirable, but not required.
