Job Description

Job Title: Senior Admin Executive – Factory

Job Summary:

The Senior Admin Executive will be responsible for managing overall administration at the factory premises, ensuring smooth day-to-day operations, handling purchase requirements for admin-related materials, and providing support to HR for employee tracking and compliance. The role requires strong vendor management skills, industrial admin knowledge, and the ability to coordinate effectively between management, employees, and external service providers.

Key Roles & Responsibilities:

Factory Administration:

  • Oversee all administrative operations within the factory premises.
  • Ensure proper housekeeping, facility management, safety, and security arrangements.
  • Coordinate with maintenance teams for infrastructure and equipment-related requirements.
  • Manage transport, canteen, and other employee welfare facilities.
  • Maintain statutory records related to administration and ensure compliance.

Purchase & Procurement (Admin Materials):

  • Handle end-to-end purchase of admin-related materials (stationery, PPE, housekeeping items, uniforms, etc.).
  • Source and negotiate with vendors to ensure cost-effective and timely procurement.
  • Track purchase orders, delivery timelines, and vendor payments.
  • Maintain inventory records and ensure adequate stock availability.
  • Support budget preparation and monitor admin-related expenses.

HR Support & Employee Tracking:

  • Assist HR in maintaining employee attendance, shift records, and leave management.
  • Provide administrative support during onboarding (ID cards, lockers, PPE, etc.).
  • Track and update statutory compliance records in coordination with HR (ESI, PF, etc.).
  • Assist in handling employee queries related to admin/HR support.
  • Support HR in coordinating employee engagement activities at the factory.

General Responsibilities:

  • Prepare MIS reports related to admin and HR functions.
  • Handle petty cash and expense management for factory admin activities.
  • Act as a single point of contact for factory admin and HR coordination.
  • Ensure smooth communication between factory management, HR, and Head Office.
  • Support audits, inspections, and compliance checks related to admin & HR records.

Key Skills Required:

  • Strong knowledge of factory/industrial administration.
  • Vendor management & negotiation skills.
  • Understanding of HR documentation and statutory compliance.
  • Good communication & coordination skills.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Ability to work independently in a factory environment.

Job Type: Full-time

Pay: ₹15,000.00 - ₹30,000.00 per month
