Job Description

The Purchase Officer is responsible for managing the sourcing, negotiation, and procurement of raw materials, packaging materials, and indirect goods required for FMCG operations. The role ensures timely supply at optimal cost and quality standards while maintaining strong vendor relationships and adhering to company policies.

Key Responsibilities:

  • Procurement & Sourcing:
  • Identify, evaluate, and select reliable suppliers and vendors for materials and services.
  • Negotiate pricing, payment terms, and delivery schedules to achieve cost savings and ensure timely supply.
  • Issue purchase orders (POs) and ensure proper documentation and approval as per company policy.
  • Vendor Management:
  • Develop and maintain strategic relationships with key suppliers.
  • Conduct regular supplier performance evaluations on quality, cost, and delivery.
  • Resolve supplier-related issues (e.g., quality concerns, delays, or discrepancies).
  • Inventory & Material Planning:
  • Coordinate with production, warehouse, and planning teams to forecast and maintain optimal inventory levels.
  • Monitor stock levels to avoid shortages or overstocking.
  • Cost Control & Compliance:
  • Support cost reduction initiatives without compromising on quality or delivery timelines.
  • Ensure compliance with procurement policies, ethical standards, and audit requirements.
  • Market Research:
  • Stay updated on market trends, new suppliers, and alternative materials.
  • Identify opportunities for innovation and process improvement in procurement activities.
  • Documentation & Reporting:
  • Maintain accurate records of purchases, contracts, and supplier information.
  • Prepare periodic reports on procurement status, supplier performance, and spend analysis.

Qualifications & Skills:

  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field.
  • 4–5 years of experience in procurement, preferably in the FMCG sector.
  • Strong negotiation and analytical skills.
  • Proficiency in ERP systems (SAP, Oracle, or similar) and MS Office Suite.
  • Excellent communication and interpersonal skills.
  • Knowledge of sourcing best practices and vendor management principles.
  • Ability to work under pressure and meet tight deadlines.
