Job Description

Job Summary:

The Purchase Manager will be responsible for sourcing, vendor management, procurement planning, and ensuring timely availability of IT hardware, and other operational requirements. The role demands strong negotiation skills, market awareness, and the ability to maintain cost-efficient procurement without compromising quality.

Key Responsibilities: Procurement & Vendor Management

Identify and evaluate reliable vendors and suppliers for IT hardware, billing machines, network components, accessories, etc.

Analyze quotations, and ensure competitive pricing and quality.

Negotiate contracts, pricing, and credit terms with suppliers.

Maintain approved vendor lists and monitor vendor performance.

Order & Inventory Management

Issue purchase orders and ensure timely delivery of materials.

Coordinate with store/warehouse team to track stock levels and maintain reorder levels.

Ensure no stock-out situations for critical hardware items.

Verify received goods for quantity, quality, damage, scratches, missing screws, branding quality, peripheral conditions, etc.

Documentation & Compliance

Maintain all purchase records, invoices, and warranty documentation.

Ensure proper documentation for warranty claims and replacements.

Coordinate with accounts team for payment processing.

Ensure compliance with company procurement policy and approval matrix.

Cost Control & Analysis

Optimize procurement costs through negotiation and alternate sourcing.

Prepare monthly purchase reports and spend analysis for management review.

Identify cost-saving opportunities without compromising operational requirements.

Coordination & Communication

Work closely with Technical, Development, Sales, and Support Departments to understand material and software requirements.

Coordinate with dispatch department for material readiness based on project schedules.

Be available on phone for urgent procurement requirements.

Required Skills & Qualifications:

  • Bachelor’s degree in Supply Chain / Business Administration / Commerce or related field.
  • Minimum 2 years of procurement experience, preferably in IT hardware/software environment.
  • Strong knowledge of IT hardware components and accessories (mandatory).
  • Fluency in Hindi and English communication is mandatory.
  • Only Male candidates who can join immediately need to apply.
