Key Responsibilities: Front Office Reception: Greeting Visitors: Welcome visitors and clients warmly, ensuring they are directed to the appropriate person or department. Telephone Management: Answer and direct incoming calls promptly and professionally, taking messages and forwarding them to the relevant staff members. Mail Handling: Receive, sort, and distribute mail and packages. Manage outgoing mail and courier services. Reception Area Maintenance: Ensure the reception area is tidy, presentable, and stocked with necessary supplies and materials. Administrative Support: Documentation: Maintain and update office records, files, and databases. Ensure all documents are properly filed and easily accessible. Correspondence: Draft, review, and send out emails, letters, and other forms of communication. Scheduling: Manage calendars, schedule appointments, and coordinate meetings. Arrange meeting rooms and prepare necessary materials. Travel Arrangements: Organize travel itineraries, accommodations, and transportation for staff as needed. Inventory Management: Monitor and manage office supplies inventory. Place orders for new supplies and ensure timely restocking. Office Coordination: Event Coordination: Assist in organizing office events, meetings, and conferences. Vendor Management: Liaise with vendors and service providers Facility Management: Report and follow up on office maintenance issues, ensuring a safe and functional workspace.
