Project CoordinatorThis role is responsible for managing end-to-end project documentation and control systems, from document creation and receipt through review, approval, distribution, and archiving, ensuring accuracy, traceability, compliance, and timely availability of information for all project stakeholders.
About the Role:
- Serve as the central coordination point for all project documentation, ensuring accurate, organized, and timely flow of information between clients, consultants, contractors, and internal teams.
- Manage the creation, receipt, review, revision, approval, and distribution of project documents—including drawings, specifications, reports, RFIs, submittals, and correspondences—in line with project protocols.
- Maintain and enforce document control procedures to ensure consistent formatting, version control, traceability, and compliance with contractual and quality requirements.
- Coordinate with multidisciplinary teams to ensure all documents are updated, logged, and accessible in the project’s Document Management System (DMS), supporting seamless information exchange throughout the project lifecycle.
- Review submitted documents for completeness, accuracy, and adherence to project standards before routing them for internal or external approvals.
- Track document progress, ensuring timely closure of comments, responses, and approvals, while maintaining a clear audit trail for all project communications.
- Manage controlled distribution of documents, ensuring the latest revisions are issued to the right stakeholders and that obsolete versions are withdrawn from circulation.
- Support project teams by generating document status reports, registers, logs, and dashboards to provide visibility into submission cycles, pending actions, and overall document health.
- Maintain secure digital and physical archives of all project documentation to ensure long-term accessibility, regulatory compliance, and readiness for audits or project close-out.
About You
- Bachelor’s degree in civil engineering
- 4+ years of experience in project management for large-scale, mixed-use, Healthcare projects within a PMC, developer, or consulting environment.
- Strong understanding of project planning, cost control, contract administration, construction methodologies, and regulatory compliance.
- Excellent communication, problem-solving, and stakeholder management skills, with the ability to drive teams toward timely and quality project delivery.
