Job Description

Program Strategy and Development

  • Strategic Planning: Assist the Senior Executive Director in developing, planning, and implementing departmental programs and initiatives that align with the academic mission and strategic goals of the Liberal Arts Department and the institution.
  • Needs Assessment: Conduct research and analyze data to identify needs, trends, and opportunities for new or improved programs (e.g., academic concentrations, co-curricular activities, faculty development).
  • Curriculum Support: Coordinate cross-departmental efforts related to curriculum review, development, and assessment, ensuring compliance with institutional and accreditation standards.

Operational Management and Execution

  • Program Oversight: Manage the day-to-day operations of assigned programs, including scheduling, resource allocation, and ensuring timely delivery of milestones.
  • Budget Management: Monitor program budgets, track expenditures, and provide regular financial reports to the Senior Executive Director. Process invoices and manage vendor contracts as necessary.
  • Process Improvement: Develop and standardize operational workflows and procedures to improve the efficiency and effectiveness of program execution.
  • Reporting: Prepare detailed analytical reports, presentations, and briefings for the Senior Executive Director and other senior leadership regarding program performance, progress, and outcomes.

Stakeholder Relations and Communication

  • Liaison: Serve as a primary point of contact and communication hub between the Senior Executive Director's office and various internal and external stakeholders, including:
  • Faculty and Department Chairs
  • Students and Student Groups
  • Administration/Central Services (e.g., Finance, Registrar, Student Affairs)
  • External Partners/Donors (in conjunction with development offices)
  • Meeting Coordination: Organize, schedule, and facilitate high-level meetings, committee gatherings, and public forums, preparing agendas, materials, and documenting action items.
  • Marketing/Outreach: Coordinate promotional and communication activities for programs to ensure high visibility and successful participation.

Supervision and Team Leadership

  • Project Leadership: Lead project teams, often comprised of faculty, staff, and student workers, to achieve program objectives.
  • Mentorship: Provide guidance and direction to supporting administrative staff or student interns assigned to program work.

Required Qualifications

  • Education: Bachelor’s degree in Liberal Arts, Business Administration, Higher Education Administration, or a related field. Master's degree preferred.
  • Experience: X+ years of experience in program management, project management, or operations within a higher education, non-profit, or complex institutional setting.
  • Skills: Proven ability to manage multiple complex projects simultaneously; exceptional organizational, written, and verbal communication skills; strong proficiency with project management tools and Microsoft Office Suite (especially Excel and PowerPoint).
  • Attributes: Highly self-motivated, proactive, detail-oriented, and capable of exercising sound judgment and discretion when handling sensitive or confidential information.
