Job Description

Viken Tape Limited, a reputed manufacturer of garment elastics based in Pandesara, Surat, is looking for a smart, dependable, and highly organized Personal Assistant to assist the Director in managing all day-to-day activities, professional, operational, and personal.


The ideal candidate should be proactive, trustworthy, and able to think ahead to ensure smooth functioning of the Director’s schedule, tasks, and business priorities.


Key Responsibilities:


Administrative & Business Support:

  • Manage and coordinate the Director’s daily schedule, meetings, and appointments.
  • Act as the primary point of contact for internal departments, customers, and suppliers.
  • Handle emails, phone calls, messages, and correspondence on behalf of the Director.
  • Prepare, organize, and maintain reports, documents, and presentations for internal and external meetings.
  • Follow up on assigned tasks, projects, and pending actions with staff or vendors.
  • Support in factory coordination, including production updates, dispatch status, and order tracking.
  • Maintain confidential files and sensitive information with discretion.


Personal & Executive Assistance:

  • Handle personal errands and household coordination as instructed by the Director.
  • Manage travel bookings, accommodations, and logistics (domestic and international).
  • Remind and ensure completion of daily, weekly, and monthly commitments.
  • Assist in event coordination, meetings, and hospitality arrangements.
  • Keep the Director informed, organized, and focused on key priorities.


Follow-up & Reporting:

  • Ensure smooth task management by keeping checklists and daily follow-up records.
  • Provide daily updates and reminders to the Director for scheduled work.
  • Prepare summaries and briefs for meetings or visits.


Key Skills & Competencies:

  • Excellent communication and interpersonal skills (English, Hindi, Gujarati).
  • Strong organizational, multitasking, and follow-up ability.
  • Discreet and professional in handling confidential matters.
  • Proficient in MS Office (Word, Excel, PowerPoint) and digital communication tools (WhatsApp, Gmail, Google Drive).
  • Ability to work independently with minimal supervision.
  • Punctual, disciplined, and reliable.
  • Should maintain a positive and energetic attitude.


Qualifications & Experience:

  • Graduate in any discipline (preferably Commerce or Business Administration).
  • 2–5 years of experience as a Personal Assistant, Executive Assistant, or Office Administrator.
  • Experience in manufacturing, textile, or trading industry will be an advantage.
  • Candidates from Surat or nearby areas preferred.


Working Hours:

  • Monday to Saturday: 9:30 AM – 6:30 PM
