Job Description

Position Overview

The Operations Executive will play a key role in supporting day-to-day operations, vendor coordination, and customer service activities. This role involves handling customer requirements, preparing commercial offers, coordinating with OEMs and distributors, and ensuring timely and accurate execution of client deliverables. The ideal candidate will have sound knowledge of IT hardware products, excellent communication skills, and the ability to manage multiple priorities efficiently.

Key Responsibilities

  • Serve as the primary point of contact for customer queries, providing timely responses and ensuring high levels of customer satisfaction.
  • Work cosely with customers on daily IT requirements for hardware, networking, CCTV, and datacentre solutions.
  • Coordinate with OEMs (Dell, HP, Lenovo, Cisco, IBM, etc.) and distributors for obtaining commercials, product details, and delivery timelines.
  • Prepare detailed price comparisons, analyse vendor quotations, and finalize competitive proposals for customers.
  • Ensure timely submission of proposals and quotations as per defined TAT (Turnaround Time).
  • Negotiate pricing, delivery terms, and commercial conditions with vendors and distributors & OEM.
  • Maintain and develop strong relationships with existing customers to ensure repeat business and identify new opportunities.
  • Work closely with internal teams including presales, accounts, and logistics for seamless order execution.
  • Track purchase orders, follow up on deliveries, and ensure closure within committed timelines.
  • Maintain and update data, reports, and documentation using Excel and internal CRM tools.
  • Maintain commercial and operational data using Excel and internal tools for reporting and follow-ups.
  • Ensure smooth coordination between customer expectations and vendor commitments.

Required Skills and Qualifications

  • Graduate in any discipline (preferably IT / Commerce).
  • 13 years of experience in Operations / Inside Sales / Coordination role within the IT hardware or system integration industry.
  • Strong understanding of IT hardware and related products such as desktops, laptops, workstations, servers, storage, NAS, networking devices, CCTV, and software licenses (Microsoft, Adobe, AutoCAD, etc.).
  • Excellent negotiation and communication skills (verbal and written).
  • Proficiency in MS Excel, MS Office, and email correspondence.
  • Strong analytical and coordination abilities with attention to detail.
  • Customer-oriented mindset with the ability to handle multiple priorities efficiently.
