Job Description

Position Summary

We are seeking a highly organized and proactive Office Administrative Assistant to be the operational backbone of our workplace. This role is central to ensuring our office runs smoothly and efficiently, providing essential support to our team and enhancing overall productivity. The ideal candidate will be a master of multitasking with a keen eye for detail, excellent communication skills, and a positive, can-do attitude. This position is based in our Hyderabad, India office.


Principal Responsibilities


Office Management & Operations:

  • Manage the front desk, including greeting visitors, answering phones, and handling incoming and outgoing mail.
  • Ensure the office is tidy, well-organized, and fully stocked with necessary supplies (kitchen, stationery, etc.).
  • Coordinate with vendors, building management, and service providers.
  • Manage office equipment maintenance and troubleshoot basic IT issues, liaising with technical support when needed.


Administrative Support:

  • Provide high-level administrative support to leadership and team members, including scheduling meetings, managing calendars, and making travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the organization of company events, meetings, and team lunches.
  • Help with new employee onboarding, including preparing workspaces and coordinating first-day logistics.


Financial Administration:

  • Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and preparing expense reports.
  • Manage petty cash and maintain accurate financial records.


Communication & Coordination:

  • Act as a central point of contact for internal and external communications.
  • Distribute company-wide announcements and updates.
  • Help maintain company policies and procedures.


Qualifications & Skills

  • Proven experience as an Administrative Assistant, Office Admin Assistant, or relevant role.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English.
  • Strong organizational and planning skills with the ability to prioritize tasks.
  • High level of discretion and confidentiality.
  • Professional and friendly demeanor with a customer-service focus.


Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or related field.
  • Familiarity with office management systems and basic accounting principles.
  • Experience in a tech or startup environment is a plus.
