Position Summary
We are seeking a highly organized and proactive
Marketing & Event Management Admin
to lead the planning, execution, and follow-up of all marketing events in the Indian Sub-continent. This role will ensure seamless event operations, from initial preparation through to post-event analysis, driving successful outcomes that align with our commercial and strategic goals.
Responsibilities
Key Responsibilities
Event Planning & Coordination
- Develop, maintain, and execute detailed event plans and checklists.
- Manage timelines, budgets, and logistics for all marketing events (conferences, exhibitions, seminars, workshops, sales meetings, and customer events).
- Coordinate with internal teams (Marketing, Sales, Regulatory, Finance, Supply Chain) and external partners (vendors, agencies, venues, service providers).
- Handle venue bookings, travel arrangements, accommodation, catering, branding, and on-site requirements.
- Ensure all materials (presentations, brochures, banners, samples, giveaways) are prepared in line with brand guidelines.
On-Site Management
- Oversee event set-up, registration, and smooth execution of event programs.
- Serve as the primary contact for stakeholders, vendors, and participants during events.
- Troubleshoot any issues that arise on-site, ensuring minimal disruption.
Post-Event Follow-up
- Ensure compliance with the company's rules and guidelines.
- Collect, analyse, and report on event performance (attendance, engagement, budget adherence, ROI).
- Support the sales and marketing teams with follow-up activities, including lead tracking and CRM updates.
- Gather feedback from participants and stakeholders to drive continuous improvement.
Administration & Compliance
- Maintain an updated calendar of all planned marketing events in India.
- Ensure alignment with regional marketing plans, corporate branding, and compliance guidelines.
- Manage all purchase orders, invoices, and vendor payments in line with company procedures.
Qualifications
Qualifications & Skills
- 3+ years’ experience in event management, marketing administration, or related roles (B2B preferred).
- Strong organizational, multitasking, and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word); experience with CRM systems (e.g., Salesforce) is a plus.
- Willingness to travel within India as required for event execution.
