Manager Administration | Torrent Diagnostics

Role & Responsibility :

• Handling Healthcare administration & facility services
• Liaising & coordinating with regulatory bodies for waste disposal audits.
• To supervise housekeeping staff for segregation of biomedical waste & maintenance of records,
• To coordinate with Biomedical waste handling company Contract renewal etc
• Preparation of Monthly budget for the department & ensure same is adhered.
• To ensure statutory documents are up to date as per defined frequency (Vehicle, BMW/PCB certificates, Fire B Form, Insurance).
• Liasioning with Govt bodies as per the work requirement (MSEB, MIDC, CP, Police, Traffic Unit, MTNLMPCB).
• Monitoring of services given by the vendor (Cafeteria, Transport, Security, Housekeeping,)
• Verification of the Purchase request, invoices & approving payment of the vendors.
• To monitor operating cost, Property lease Management, Admin Compliance & Asset Management.
• Assuring that the agreed standards of cleanliness & hygiene are maintained in office premises.
• To maintain minimum wastages in all area of company & give regular updates to management.
• To make team occupied with works & seek regular updates & same to be projected to management.
• Conducting training for team members on monthly basis (Executives, Security, HK, Pantry boys & Drivers).
• Infrastructure management To coordinate with land lords & agents for new sites, coordination with architecture team for set up of site.
• Safety security of the staff, materials & premises (Physical security, Material Management, Fire Safety)
• Surprise check on sites (material movement, trespassing & staff’s movement) & submission of inspection reports to management.
• Assuring NABH compliances in Support Services Department through PDCA cycle & quality management
• Maintain all fire safety equipment in the building, such as fire extinguishers and other fire-suppression equipment, replacing dysfunctional equipment when it cannot be fixed.
• Conducting Fire Mock drill & evacuation as per the calendar schedule.
• Outlined monthly budget for admin related expenses handling monthly MIS, Expenses & revenue reports.
• Handle repair & maintenance work like electrical, carpentry, plumbing, civil and new project work responsible for general maintenance of inside and outside premises,
• Handle - housekeeping, pantry, office boys, technicians, front office executive, help desk executive,
• Handle safety and security first aid, fire system, fire extinguisher, conduct fire mock drill, pest control, security guard, gate passbook, inward, outward, lost and found registers, space management, key management, vendor management, asset management, courier management,
• Keeping track of consumption and inventory of housekeeping materials, pantry consumables, office stationery, printing stationery, etc.
• Maintained the stock of all items for housekeeping & ensured proper issue / storage,
• Vendor evaluation and renewal of AMC for services like Pest control, Firefighting system, Housekeeping, Transport,
• Telecommunication Security and HVAC.
• Vendor management includes Identification, submission of commercials, selection & registrations.
• Concentrating on cost cutting, cost optimization & initiative to curb the cost.
