Job Description

A Day in Your Life at MKS:

As a member of the IT Partner and Vendor Management Team within the Office of the CIO, as an IT Analyst you will be a primary contact for procurement and operational related activities within the organization. You will work closely with our P&VM Team, members of the broader IT organization, Finance liaisons and our partners in Procurement.

Principal Responsibilities:

  • Shepherd request through the IT Procurement Process by partnering with IT Staff, Procurement, and Finance by aligning with corporate policies, department processes and budgetary requirements. This includes contract execution, purchase requisitions, purchase orders, and invoice payment.
  • Analyze data and report on key performance indicators related to financial management, contract management, and vendor management.
  • Track contract end dates to ensure sufficient time is provided to address contract terminations and renewals.
  • Liaison between IT staff, leadership, cross function teams (Procurement/Supply Chain, Finance, HR and other MKS divisions) as well as external vendors to ensure timely and accurate responses to requests.
  • Monitor expenditures against purchase orders and perform related closeout activities.
  • Track and manage consumption-based services and alert management and other stakeholders of cost increases compared to forecasts.
  • Prepare required documentation for senior leadership to enable timely approval of pending contracts and Purchase Requisitions.
  • Understands the escalation process for time-sensitive, high visibility, or non-standard requests.
  • Coordinate with IT staff, vendors and external resources to ensure that all IT consultants are represented on an active purchase order.
  • Supports continuous improvement, promoting productivity efficiencies and cost savings.
  • Champion enhancements to streamline OCIO processes.
  • Document processes in alignment with IT Procurement and Vendor Management by developing and maintaining job aids.

Skills You Bring:

  • Exceptional communication skills
  • Strong intermediate Excel level user
  • Experience with contracts and operations within an IT environment
  • Expertise in financial tracking and procurement lifecycle
  • Initiative-taking, detail oriented, highly organized, and results driven
  • Ability to work independently or as a team
  • Adaptable to new processes, with an eye for continuous improvement
  • User level knowledge of systems such as Oracle, SAP, Ariba, Contraxx, Docusign, ServiceNow, and Workday
  • Bachelor’s degree in Information Technology, Business or related field
  • 5+ years of related experience
