IMPORT & EXPORT EXECUTIVE – JOB DESCRIPTION

Job Title: Import & Export Executive

Department: International Trade / Logistics

Location: (Add Location)

Experience Required: 2–5 Years (or as required)

Job Summary

The Import & Export Executive is responsible for managing the complete documentation, coordination, and logistics activities for international shipments. The role ensures compliance with customs regulations, timely clearance of goods, cost efficiency, and smooth communication with suppliers, shipping agents, and customers.

Key Responsibilities

1. Import Operations

  • Handle import documentation: Invoice, Packing List, BL/AWB, COO, HS Codes, Insurance certificate, etc.
  • Coordinate with CHA, freight forwarders, shipping lines, and customs authorities.
  • Track shipment status and monitor the ETA / ETD, container movements, and clearance process.
  • Verify import duty structure and prepare duty calculations.
  • Manage BOE (Bill of Entry) filing and ensure compliance with customs rules.
  • Follow up for timely delivery and GRN.

2. Export Operations

  • Prepare and manage export documentation: Proforma Invoice, Commercial Invoice, Packing List, Shipping Bill, COO, LC documents, etc.
  • Coordinate with shipping lines for container booking, stuffing, and sailing updates.
  • Ensure compliance with DGFT policies, INCOTERMS, and customs regulations.
  • Work with CHA for shipping bill submission and duty drawback documentation.
  • Prepare documents for LC negotiation and ensure accurate banking submissions.

3. Logistics & Coordination

  • Interact with suppliers, transporters, warehouses, and customers.
  • Coordinate for smooth cargo movement and schedule management.
  • Work with finance for payment processing, duty payments, and reconciliation.
  • Communicate delivery updates to clients and internal teams.

4. Compliance & Reporting

  • Maintain records as per statutory requirements.
  • Ensure compliance with DGFT, Customs, RBI, FEMA, and EXIM policies.
  • Prepare regular MIS reports on shipments, costs, and transit times.
  • Monitor changes in trade regulations and update management.

Skills & Qualifications

  • Graduate / MBA in International Business, Logistics, Supply Chain, or related field.
  • Strong knowledge of Customs procedures, DGFT rules, Export/Import documentation, and INCOTERMS.
  • Good communication and coordination skills.
  • Proficiency in MS Office (Excel, Word, Email).
  • Ability to multitask and work under pressure.
