Role Description:


Spine Payroll

at least 1 year of hands-on experience in Spine Payroll

Key Responsibilities:


Payroll Management (Spine Payroll)

  • Process monthly payroll accurately using

    Spine HRMS/Spine Payroll

    .
  • Maintain employee master data, salary structures, and statutory details in Spine.
  • Validate attendance, leaves, overtime, and shift records before payroll processing.
  • Prepare salary sheets, payslips, and payroll MIS reports.
  • Manage Full & Final settlements, arrears, and reimbursements.
  • Ensure accurate deductions of PF, ESIC, PT, TDS, and other statutory components.

Statutory Compliance

  • Ensure compliance with PF, ESIC, PT, LWF, Bonus, Gratuity, and other statutory acts.
  • Prepare and file all statutory returns and challans on time.
  • Maintain statutory registers and documentation for audits.

Attendance & Leave Administration

  • Monitor daily attendance, shift rosters, late marks, absenteeism.
  • Manage leave applications, approvals, and balance updates in Spine.
  • Coordinate with departments to resolve attendance discrepancies.

HR Operations & Documentation

  • Manage onboarding, induction, and employee documentation.
  • Maintain digital and physical HR records and personnel files.
  • Issue HR letters like appointment, confirmations, warnings, increment letters, etc.
  • Support HR audits and ensure proper record-keeping.

Recruitment Support

  • Actively take care of talent acquisition
  • Coordinate recruitment activities: job posting, screening, scheduling interviews.
  • Assist in joining formalities and orientation of new employees.

Employee Relations & Communication

  • Handle employee queries related to payroll, leaves, HR policies, etc.
  • Support grievance handling and escalate issues when required.
  • Assist in employee engagement activities and HR initiatives.

MIS & Reporting

  • Prepare HR and payroll reports for management review.
  • Maintain monthly dashboards (attendance, headcount, salary variance, etc.).
  • Ensure data accuracy and confidentiality at all times.



Qualifications:


Educational Requirements

  • Bachelor’s degree in HR, Commerce, Business Administration, or related field.
  • MBA/PGDM in HR preferred (not mandatory).

Experience

  • Minimum 1 year of hands-on experience in Spine Payroll software (mandatory).

  • 2–4 years of overall experience in HR, payroll, or HR operations (preferred).
  • Experience in statutory compliance (PF, ESIC, PT, TDS, LWF, Gratuity) is an added advantage.

Technical Skills

  • Proficiency in

    Spine HRMS / Spine Payroll

    .
  • Strong MS Excel skills (VLOOKUP, Pivot Tables, MIS reporting).
  • Understanding of HRMS systems, attendance machines, and HR documentation.

HR Knowledge & Competencies

  • Good knowledge of payroll processes, salary structure, and statutory deductions.
  • Understanding of HR policies, onboarding, recruitment, and employee lifecycle management.
  • Strong communication and interpersonal skills.
  • High level of accuracy, confidentiality, and attention to detail.
  • Ability to handle employee queries professionally and resolve issues.
