Location: Namakkal (HQ) with field/site visits across TN (2040%)

Work Mode: On-site | Full-time

Experience: 3–7 years

Key Responsibilities

1) Onboarding & Employee Records

  • Run Day-0/Day-1 onboarding; collect and verify KYC, education, and previous employment documents; handle PF/ESI declarations, POSH acknowledgments, and NDAs.
  • Generate and track letters (offer, appointment, confirmation, transfer, increment, warning, relieving).
  • Maintain digital personnel files with strict naming and version control (company/site/month-wise).

2) HRIS / GreytHR & Zoho Administration

  • Create and maintain employee master data in GreytHR and Zoho; ensure field-level validation and resolve duplicates.
  • Configure workflows and approvals (leaves, OT, loans, advances); manage role-based access controls and conduct weekly data hygiene audits.
  • Migrate historical data from Excel to GreytHR ensuring proper audit trails.

3) Attendance, Shift & OT Controls (Malpractice Reduction)

  • Manage roster creation and change control; reconcile Zoho attendance with GreytHR data.
  • Operate makerchecker process for exceptions such as manual punches, geo-fence failures, device mismatches, and repeated late marks.
  • Conduct monthly audits including selfie logs/geo-tags vs roster; execute three-strike escalation to Head HR and conduct site surprise checks.

4) Payroll Inputs & Statutory Coordination

  • Freeze inputs by T-3 (attendance, OT, allowances, arrears, LOP); prepare clean input sheets for Head HR and Finance.
  • Coordinate PF, ESI, PT, Bonus, and Gratuity data; maintain registers and challan documentation month-wise (audit-ready).
  • Manage full and final (FnF) settlements, no-dues clearance, and asset return coordination.

5) SOP & Documentation Implementation

  • Translate consultant SOPs into actionable checklists, forms, and workflows in GreytHR/Zoho.
  • Train site managers and interns on new processes; publish and maintain the HR Operations Playbook.
  • Monitor adherence and continuously improve compliance and efficiency.

6) HR MIS & Service Desk

  • Own HR ticketing SLAs (ID cards, letters, queries) and ensure timely closure.
  • Prepare and publish weekly dashboards covering headcount, joins/exits, onboarding compliance, attendance exceptions, and payroll input status.

Qualifications & Competencies

  • 25 years of experience in HR Operations/Generalist roles, preferably in multi-site, operations-heavy environments (logistics, retail, plant, etc.).
  • Hands-on experience with

    GreytHR

    and

    Zoho

    (or similar HRIS); strong proficiency in

    Excel/Google Sheets

    .
  • Working knowledge of Indian labor statutes:

    EPF, ESIC, PT, Bonus, Gratuity, Shops & Establishments/Factories, POSH

    .
  • Strong attention to detail, process orientation, and confidentiality.
  • Assertive follow-up and stakeholder management skills across sites.
  • Effective communication in

    English and Tamil

    preferred.
