Job Description

Job Profile: HR Officer

Reports to: Accounts Head

Supervises: HR assistants, interns (depending on organization size)

1. Position Overview

The HR Officer is responsible for handling day-to-day HR operations, ensuring smooth employee lifecycle management, statutory compliance, and supporting organizational culture and productivity. The role acts as a bridge between management and employees.

Role & responsibilities

. Recruitment & Onboarding

  • Prepare job postings, screen applications, schedule interviews.
  • Coordinate with department heads for manpower planning.
  • Conduct reference checks and issue appointment letters.
  • Manage employee onboarding, induction, and documentation.

. Employee Records & HR Administration

  • Maintain employee personal files (physical & digital).
  • Maintain attendance system, leave management, and monthly HR MIS.
  • Issue HR letters (salary certificates, experience letters, warning memos, etc.).

. Payroll Support

  • Compile attendance, leave, overtime, deductions.
  • Coordinate with accounts/finance for monthly payroll processing.
  • Ensure accuracy of payslips and resolve employee salary queries.

. Statutory Compliance (India)

  • Support compliance in ESIC, EPF, Labour Welfare Fund, Professional Tax, and Shops & Establishment rules.
  • Maintain compliance registers and coordinate with consultants.
  • Ensure timely filing of returns and deposit of contributions.

. Performance Management

  • Assist in goal setting and appraisal cycle.
  • Track probation confirmation, increments, and promotions.

Safety training coordination with HSE team

Required Skills & Competencies

Strong communication and interpersonal skills.

Knowledge of HR operations and Indian labour laws.

Proficiency in MS Office and HRMS/attendance software.

Documentation accuracy and attention to detail.

Ability to maintain confidentiality and handle sensitive information.

Qualifications

Bachelors degree (BA/BCom/BBA) or

Masters degree in HR (MBA/PGDM in HR preferred).

2-5 years experience in HR operations for Officer role.
