Job Description

Role Purpose

To manage end-to-end HR operations and administrative activities in a healthcare environment, ensuring smooth clinical and non-clinical manpower management, statutory compliance, staff engagement, and uninterrupted hospital operations.

Key ResponsibilitiesA. Human Resources – Healthcare Focus1. Clinical & Non-Clinical Recruitment

  • Coordinate recruitment for doctors, nurses, embryologists, counsellors, technicians, front desk, OT staff, and support staff
  • Schedule interviews, background checks, and credential verification
  • Maintain recruitment tracker and manpower requisition records
  • Coordinate joining formalities for centre-level and corporate hires

2. Healthcare Onboarding & Credentialing

  • Manage onboarding process for clinical staff, including:
  • Educational and medical council registrations (MCI / NMC / State Council / Nursing Council)
  • Experience certificates and credential files
  • Coordinate induction on clinical protocols, NABH guidelines, infection control, and patient safety
  • Ensure staff sign confidentiality, ethics, and patient data protection policies

3. Attendance, Shifts & Payroll Support

  • Maintain attendance and shift rosters for hospital staff
  • Track night shifts, on-call duties, leaves, and compensatory offs
  • Coordinate payroll inputs for:
  • Shift allowances
  • OT allowances
  • Doctor payouts / professional fees
  • Incentives and variable pay
  • Coordinate PF, ESIC, professional tax, and statutory deductions

4. Statutory Compliance & HR Governance

  • Ensure compliance with:
  • Labour laws (Shops & Establishments, PF, ESIC)
  • Clinical establishment regulations
  • Bio-medical waste and hospital manpower documentation
  • Support internal and external audits (NABH, ISO, state health authorities)
  • Maintain employee medical fitness records and vaccination status

5. Employee Relations & Grievance Handling

  • Act as point of contact for staff grievances (clinical & non-clinical)
  • Support conflict resolution in high-pressure healthcare environments
  • Assist in disciplinary processes as per HR policies

B. Healthcare Administration & Facility Management1. Hospital / Centre Administration

  • Coordinate day-to-day hospital administration
  • Manage vendors for:
  • Housekeeping
  • Security
  • Laundry
  • Biomedical waste
  • Pest control
  • Maintain service contracts, licenses, and renewals

2. Asset & Inventory Administration

  • Maintain asset register for:
  • Medical equipment (non-technical admin tracking)
  • Staff uniforms, ID cards, lockers
  • Coordinate asset allocation and recovery during joining and exit

3. Staff Welfare & Engagement

  • Manage duty meals, uniforms, transport, and accommodation (if applicable)
  • Support staff engagement activities and training programs
  • Coordinate annual health check-ups and vaccinations

C. HR Operations, MIS & Reporting

  • Maintain HR dashboards:
  • Headcount (clinical vs non-clinical)
  • Attrition
  • Leave & absenteeism
  • Manpower cost
  • Prepare monthly HR MIS for centre head / corporate HR
  • Maintain HRMS / Excel trackers accurately

Exit & Separation Management

  • Manage resignation and exit formalities
  • Coordinate handover, asset clearance, and final settlement
  • Issue relieving, experience letters, and statutory exit documents

Skills & Competencies

  • Strong understanding of hospital HR operations
  • Familiarity with clinical manpower requirements and shift systems
  • Knowledge of NABH / healthcare compliance (preferred)
  • High confidentiality, empathy, and conflict-handling skills
  • Proficiency in MS Excel, HRMS, payroll coordination tools

Qualifications & Experience

  • Graduate / MBA in HR (preferred)
  • 1–3 years experience in hospital / healthcare HR & Admin
  • Experience in IVF centre, hospital, diagnostic lab, or clinic preferred
  • Exposure to audits and statutory healthcare compliance is an advantage

Job Types: Full-time, Part-time, Internship
Contract length: 11 months

Pay: ₹11,308.44 - ₹34,291.38 per month

Expected hours: No less than 5 per week
