: LThis role is responsible for center facility administration, and focuses on optimizing facility operations, managing transport logistics, and fostering vendor relationships, while prioritizing health and safety standards. By driving continuous improvement and effective coordination, the expert enhances overall administrative processes to support business objectives and employee satisfaction.
Key Responsibilities:
Facilities Management:
- Managing & Monitoring Security, Front desk, Pantry Boys, Housekeeping, Maintenance & Cafeteria.
- Effective coordination with 24/7 BMS for liaising of facility related issues & concerns.
- Manage utility services of electrical, air conditioning, furniture & plumbing equipment's.
- Work towards admin overall process improvement such as proper tracking of activities related to facility management by driving innovation.
- Planning of internal shifting/ movement in terms of logistics as per business requirements.
- Arrangement of meeting / Client Visit - hotel bookings, transport for them and hosting them.
- Attending Escalation calls for Facilities & Transport.
- Interacting with the vendors on daily basis to maintain the service level as well as with various departments.
Security & Emergency Management:
- Being vigilant of the visitor’s entry/ exits, and for special assistance keeping security supervisor informed.
- Health & Safety of employees.
- Emergency Management
- Handling first aid, safety & firefighting operations.
- Keeping track of surveillance cameras, recorders, registers & other systems to ensure adherence to security. Managing safety of employees in office including fire equipment.
Transport Management:
- Answering all the queries of the employees related to Transport
- Vehicle maintenance check and getting feedback from employees on daily transport schedule.
- Managing transport and being a back-up for the transport executive.
Cost Optimization:
- Vendor Management and negotiation to get best quotes in Favor of the company.
- Disposing old and used item and track cash generated through it.
- Taking care of procurement related to stationery, Asset & Maintenance material
- Managing transport efficiently & effectively and in turn keeping the cost low.
Generic responsibilities:
- Understanding business requirements and taking regular rounds on OPS floors.
- Ensure administrative compliance.
- Ensuring adherence of company policies by employees.
- Support in all the events/ festival celebrations and business meets.
- To make sure major escalations & minor escalations are addressed and resolved on time.
- Attending employees Grievances in respect with facility management.
- Maintain high quality services standards to ensure smooth functioning in day-to-day activities.
- Business Continuity Plan support.
- Invoice and vendor management.
Required Qualifications:
- Graduate (Bachelor’s degree from a recognized University in any discipline).
- 4-6 years of admin experience, ideally from BPO/KPO.
- Strong experience working in partnership with leaders and colleagues to drive results.
- Experience interacting with all levels of management/staff and across organizational lines.
- Experience implementing diverse and high impact HR initiatives to support organizational objectives.
- Excellent influencing, communication skills - particularly within matrix style organizations.
- Experience presenting to different audiences verbally, in writing and in presentation formats
- Experience working with detailed information and numerical data and presenting it in a way that is easily understood by people at different levels in the organization.
- Experience with event management
- Identifying opportunities for continuous improvement, based on feedback, stakeholder engagement, trend analysis, etc.
- Experience in change management to improve efficiency and effectiveness
- Computer knowledge (words, excel, power point).
