Job Overview

We are seeking a proactive and highly organized FEMALE Executive Assistant to join our dynamic team at Saburi Ply in Kolkata. This is a full-time, mid-level role requiring outstanding project management, communication, and coordination skills, with a focus on streamlining the workflow of our leadership and ensuring seamless operations in a fast-paced IT environment.

Qualifications And Skills

  • Proven experience in utilizing CRM tools for managing client relationships and sales pipelines (Mandatory skill).
  • Strong background in project coordination, including cross-department collaboration and task tracking (Mandatory skill).
  • Exceptional verbal and written communication skills in English, facilitating effective interaction with stakeholders.
  • Demonstrated expertise in managing calendars, scheduling meetings, and supporting senior leaders with time management.
  • Proficient in email management, prioritizing and responding to high volumes of correspondence with attention to detail.
  • Advanced user of MS Office Suite, including Word, Excel, PowerPoint, and Outlook for daily administrative tasks.
  • Experience in vendor management, coordinating with external parties and ensuring timely delivery of goods or services.
  • Ability to identify opportunities for process improvement, introducing efficiency-enhancing practices for executive operations.

Roles And Responsibilities

  • Serve as the primary point of contact between executive leadership and internal/external stakeholders, managing communication flows with professionalism.
  • Coordinate and monitor ongoing projects, ensuring deadlines are met and supporting teams in task completion and follow-up activities.
  • Maintain and organize executive calendars, schedule appointments, and manage travel arrangements as required.
  • Oversee confidential correspondence via email and other channels, drafting responses and managing information flow.
  • Prepare reports, presentations, and documentation using MS Office tools to support meetings and executive decisions.
  • Work closely with vendors to negotiate contracts, track orders, and resolve issues, ensuring operational effectiveness.
  • Facilitate meetings, take detailed minutes, and ensure actionable outcomes are communicated and tracked for follow-up.
  • Continuously seek and implement process improvements to streamline administrative procedures and enhance productivity for senior management.
