Job Description

Position Overview

The Executive Assistant to the Managing Director will provide high-level administrative, operational, and strategic support to the MD’s office. This role requires professionalism, confidentiality, strong communication skills, and the ability to manage multiple tasks in a fast-paced environment. The candidate must be proactive, organized, and able to coordinate with all departments of NDTH Energy.

Key Responsibilities

Executive & Administrative Support

  • Manage the MD’s daily calendar, appointments, travel plans, and meeting schedules.
  • Handle all email communication and correspondence on behalf of the MD.
  • Prepare presentations, reports, MOMs, official letters, and internal documents as required.
  • Track and follow up on tasks assigned by the MD to various departments.

Coordination & Communication

  • Serve as the primary point of contact between the MD and internal/external stakeholders.
  • Coordinate with HR, Operations, Sales, Finance, and other departments for updates, reports, and deadlines.
  • Ensure smooth inter-departmental communication and timely flow of information.

Operational & Project Support

  • Assist in monitoring the progress of key business projects and initiatives.
  • Conduct basic research, gather data, and prepare summaries for decision-making.
  • Maintain confidential documentation, agreements, and office records.
  • Support procurement, vendor coordination, and logistics as guided by the MD.

Meeting & Event Management

  • Schedule and organize internal/external meetings, reviews, conferences, and client visits.
  • Prepare agendas, collect inputs, and record minutes of meetings.
  • Follow up on action points until closure.

Skills & Requirements

  • Bachelor’s degree required, MBA or equivalent preferred.
  • 3–7 years of experience as an Executive Assistant or similar role.
  • Strong communication skills (verbal and written).
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and email drafting.
  • Excellent organizational, time-management, and multitasking abilities.
  • High level of confidentiality, professionalism, and integrity.
  • Ability to work independently and handle pressure in a fast-paced environment.
