Job Description

As the Executive Assistant to the Managing Director at NDTH Energy, your role will involve providing high-level administrative, operational, and strategic support to the MD's office. You must exhibit professionalism, confidentiality, strong communication skills, and the ability to manage multiple tasks in a fast-paced environment. Proactiveness, organization, and effective coordination with all departments of NDTH Energy are key for success in this role. Key Responsibilities: - Manage the MD's daily calendar, appointments, travel plans, and meeting schedules. - Handle all email communication and correspondence on behalf of the MD. - Prepare presentations, reports, MOMs, official letters, and internal documents as required. - Track and follow up on tasks assigned by the MD to various departments. Coordination & Communication: - Act as the primary point of contact between the MD and internal/external stakeholders. - Coordinate with HR, Operations, Sales, Finance, and other departments for updates, reports, and deadlines. - Ensure smooth inter-departmental communication and timely flow of information. Operational & Project Support: - Assist in monitoring the progress of key business projects and initiatives. - Conduct basic research, gather data, and prepare summaries for decision-making. - Maintain confidential documentation, agreements, and office records. - Support procurement, vendor coordination, and logistics as guided by the MD. Meeting & Event Management: - Schedule and organize internal/external meetings, reviews, conferences, and client visits. - Prepare agendas, collect inputs, and record minutes of meetings. - Follow up on action points until closure. Qualifications Required: - Bachelor's degree required, MBA or equivalent preferred. - 3-7 years of experience as an Executive Assistant or in a similar role. - Strong communication skills (verbal and written). - Proficiency in MS Office Suite (Excel, Word, PowerPoint) and email drafting. - Excellent organizational, time-management, and multitasking abilities. - High level of confidentiality, professionalism, and integrity. - Ability to work independently and handle pressure in a fast-paced environment. Preferred Qualities: - Smart, presentable, and proactive. - Strong problem-solving skills with a positive attitude. - Ability to anticipate requirements and take initiative. - Strong follow-up and coordination skills.
