Job Title: Executive Assistant to the Managing Director

Location: New Delhi

Reporting To: Managing Director
Position: Full-time

Role Overview

We are seeking a highly organized and proactive Executive Assistant to support the Managing Director. The ideal candidate will manage administrative functions, coordinate schedules, handle confidential communication, and ensure the efficient day-to-day operation of the MD’s office. This role requires professionalism, exceptional communication, and strong multitasking abilities.

Key Responsibilities
1. Administrative & Secretarial Support

  • Provide comprehensive administrative and secretarial support to the MD.
  • Handle incoming correspondence; respond independently where appropriate.
  • Maintain office systems, including data management, documentation, and filing.
  • Update and organize the MD’s contact database accurately.

2. Calendar, Travel & Coordination

  • Manage the MD’s electronic calendar and prioritize appointments.
  • Plan travel, accommodation, itineraries, and logistics.
  • Screen and manage phone calls, emails, inquiries, and requests.

3. Meeting & Communication Support

  • Schedule and organize internal and external meetings.
  • Prepare agendas, briefs, and required documents for the MD.
  • Draft, edit, and format official letters, reports, and presentations.
  • Welcome and coordinate with visitors at all seniority levels.

4. Technology & Documentation Efficiency

  • Use AI tools (e.g., ChatGPT) for drafting communication, templates, reports, and presentations.
  • Prepare high-quality documents, MIS reports, and communication materials.

5. General Support & Confidentiality

  • Coordinate with internal teams and external stakeholders to ensure smooth information flow.
  • Handle confidential matters with the highest level of discretion.
  • Perform any additional duties assigned by the Managing Director.

Requirements & Skills

  • Bachelor’s degree or equivalent qualification.
  • 4–5 years of experience as an Executive Assistant or Personal Assistant supporting senior leadership.
  • Experience in managing electronic calendars and coordinating extensive travel.
  • Excellent verbal and written communication skills.
  • Strong organizational and planning skills with the ability to multitask.
  • High attention to detail and accuracy in documentation.
  • Ability to work independently with a proactive approach.
  • Strong confidentiality and professionalism.
  • Proficient in MS Word, Excel, PowerPoint; familiarity with AI tools is a plus.
  • Well-groomed, presentable, and professional demeanor with strong customer-facing etiquette.
