Job Description

The Executive Assistant (EA) to the Managing Director provides high-level administrative, operational, and strategic support to ensure effective management of the MDs office. This role acts as the primary coordination point between the MD and internal/external stakeholders, enabling the MD to focus on organisational priorities. The position demands exceptional professionalism, discretion, business acumen, and the ability to operate in a fast-paced, high-growth environment.

Key Responsibilities

1. Executive & Administrative Support

  • Manage the MDs calendar, appointments, meetings, and travel with accuracy and foresight.
  • Coordinate end-to-end national and international travel itineraries, logistics, and expense management.
  • Ensure all meetings are well-prepared with agendas, briefs, presentations, and follow-up notes.

2. Communication & Coordination

  • Act as the single point of contact for all communications to/from the MDs office.
  • Draft, review, and manage high-quality emails, reports, letters, and communication.
  • Liaise with senior leadership, board members, clients, and partners with professionalism and efficiency.
  • Maintain confidentiality of all sensitive information.

3. Business & Operational Support

  • Assist the MD with strategic initiatives, special projects, and cross-functional coordination.
  • Track action items, key deliverables, and deadlines across departments, ensuring progress and timely closure.
  • Conduct preliminary research, compile data, and prepare executive summaries or MIS reports.
  • Support the MD in reviewing proposals, contracts, and business documents.

4. Stakeholder Management

  • Build effective working relationships with internal teams, external agencies, government bodies, clients, and partners.
  • Represent the MD’s office in meetings when required, ensuring alignment and clarity.
  • Manage the MD’s involvement in events, conferences, and stakeholder engagements.

5. Office Governance & Prioritisation

  • Filter, prioritise, and escalate issues requiring the MD’s attention.
  • Ensure the MD’s office operates with high efficiency, structure, and discipline.
  • Handle confidential HR, finance, and legal documents with complete integrity.

6. Administrative Excellence

  • Maintain and organise documents, dashboards, reports, and archives.
  • Support budget tracking, expense management, and vendor coordination.
  • Manage meeting logistics, board meetings, note-taking, minutes, and action trackers.

Required Skills & Competencies

Technical & Professional Skills

  • Strong command of written and verbal communication.
  • High proficiency in MS Office (Excel, PowerPoint, Word), Google Workspace, and productivity tools.
  • Experience in calendar management, travel logistics, and executive correspondence.
  • Ability to work with data and prepare dashboards, presentations, and analytical summaries.

Educational Qualifications

  • Graduate in any discipline; MBA or equivalent qualification preferred.
  • Certifications in office management or executive assistantship are an added advantage.

Experience Requirement

  • 5–10 years of experience supporting CXO/MD-level leaders in reputed corporates (MNCs, Big 4, large-scale Indian conglomerates, or high-growth companies).
  • Proven track record in handling senior stakeholders and managing high-level business coordination.
